**The Opportunity**
As an Administrative Assistant, you will be responsible for providing a wide range of administrative functions for two programs in a dynamic and challenging work environment. The Mobile Outreach Department provides services and support related to the street-engaged population. The Disaster Services Program focuses on preparing for and responding to disasters. You will help maintain program efficiencies and provide support to both programs.
**Responsibilities**
Responsibilities include but are not limited to:
- Compiling information; managing databases
- Managing documentation including creating and/or formatting reports/correspondence for approval and updating documents. Maintain and organize electronic and paper records
- Developing and maintaining positive working relationships with department staff, internal and external partners, other organizations, and staff in other City departments
- Supporting health and safety within the programs includes tracking and maintaining documentation, supporting the health and safety program, etc.
- Web communications and website maintenance
- Planning and preparing for meetings including developing agendas, taking minutes, and conducting assigned follow up
- Processing financial documentation including invoicing, general accounting, budget reporting
- Fleet maintenance; scheduling oil changes, repairs, and regular maintenance
- Assisting with special projects and emergency management and response
- Managing training registration, attendee lists, and event setup
**You Bring**
You bring post-secondary education in business/office administration or other relatable training along with 1 to 3 years of experience.

- Flexibility to meet changing priorities
- Exceptional organizational skills
- Knowledge of office procedures such as invoicing, general accounting, budget reporting, etc.
- Demonstrated proficiency in data entry and management
- Strong communication skills both written and verbal
- Strong commitment to customer service and continuous improvement
**Hours**
Full-time Position (35 hours per week) Monday to Friday, 0830-1630 hrs. Some evenings and weekends may be required
**Compensation**
Starting at $25.91 per hour (Band B, Entry Step)
Annual salary is $47,156.20 per year
