Job Description Summary

Performs the administrative functions of the assuring a high level of professionalism in property issues, including timely response to and resolution of any tenant requests or concerns.

**Job Description**:
Administration/Operations

Provide general administrative support including word processing, filing, photocopying, faxing, scheduling appointments/meetings, and office organization.

Maintain tenant contact lists and databases.
Project tracking including base building and tenant improvements.
Maintain digital filing system and organization of all tenant and building documentation.

Accounts Payable/Accounts Receivable

Maintain and update security deposit reports.
Manage Tenant rents; deposit, posting and reporting and collection as required.
Process tenant chargeback invoices, as required.
Prepare tenant statements of account, investigating and resolving any irregularities or enquiries.
Process invoices in accordance with budget/signing authorities in both Yardi/Nexus and MRI.
Maintain a filing system for all payables, financial and lease documents.
Coordinate with Head Office Accounting for monthly and annual reporting.
Assist with Budget and reforecasting input.

Property Management/Lease Administration
Aid the Property Manager in keeping on top of deadlines/commitments through proactive follow-up.

Track landlord and tenant requirements, as necessary.
Issue annual letters to tenants regarding new tenant rental charges.
Assist with preparation of annual operating budgets and variance analysis.
Assist with preparation of monthly and quarterly reports to clients.
Assist with creation of Lease Admin Adjustment documentation for Property Manager Approval.
Assist with Contract preparation for Property Manager Approval.
Collect Monthly Tenant Sales for timely input and posting.
Collect and record insurance certificates from tenants, contractors
Other duties as may be assigned from time to time.
