Detailed Overview: Working closely with the clinic coordinator and reporting to the Manager, performs clerical and secretarial duties such as describing the program, receiving visitors, answering telephone, typing, scheduling appointments, registering outpatients, filing, billing using computerized Admission Discharge Transfer (ADT) system, data entry for statistical purposes and preparing mail-outs to support the Diabetes & Healthy Heart Clinics. Responsibilities:

- Provides basic information and clarification of all programs and services. Explains and clarifies policies to public on matters such as outpatient wait lists, scheduling of appointments, glucose strip certification and program fees including non resident and out of province charges.
- Performs receptionist duties including receiving visitors and directing to appropriate areas. Receives and dates referrals, mail and faxes.
- Establishes and maintains multidisciplinary team's schedules and admits outpatient appointments accordingly. Schedules patient education classes and special events including booking equipment, interdisciplinary staff, meeting rooms and patients to attend.
- Registers outpatients using computerized ADT system, prepares necessary documents, contacts laboratories to obtain test results and carries out phone reminders.
- Schedules patient appointments for classes and individual appointments. Maintains and tracks records for laboratory tests required and performed. Contacts physician offices, patients and other programs as appropriate. Identifies available booking options by obtaining patient information such as personal details, nature of care required and health status. Applies program priority categories to patients and schedules appointments according to the priority rating.
- Performs clerical duties including answering the telephone, directing calls, keyboarding using word processing software, drafting correspondence for review and signature, preparing mail-outs from patient and physician database as directed, composing letters for patient appointments, typing and circulating notices and agendas and recording, transcribing and distributing minutes of meetings.
- Obtains information required from patients and submits charges to business office for billing schedules, if required. Collects fees for special events.
- Maintains current databases of program participants including preparing and maintaining patient files. Maintains a registry of admissions and discharges. Prepares addresograph plates for patients. Inputs client data relevant to tracking patient progress. Compiles, prepares and maintains statistical database from outpatient census data.
- Maintains payroll sheets for all staff, inputs hours into the payroll system, and produces payroll sheets for review by supervisor.
- Maintains inventory of office supplies and orders as required.
- Performs other related duties as assigned.

Qualifications:
**Education and Experience**

Grade 12 and two (2) years' recent related experience or an equivalent combination of education, training and experience.

**Skills and Abilities**
- Ability to keyboard at 55 w.p.m.
- Knowledge of medical terminology.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Ability to organize work.
- Ability to operate related equipment.
- Physical ability to carry out the duties of the position.
