The procurment clerk will provide direct administrative support to the various divisions within Liebehrr Canada. This role is responsible for overseeing a range of procurment tasks while focusing on facilities clerical daily activities and administrative matters. The newest team member will make contact with internal and external stakeholders, including senior managers, technicians, auditors, vendors and visitors, exercising professional judgment within generally defined procurment practices and policies.
**Responsibilities**:
- Provide general administrative support to staff and management as requested
- Code and file material according to the established procedures within Finance
- Prepare and electronically file invoices according to established policy and procedure
- Maintain CMMS work flow of Facilities Maintenance work requests from Liebherr Canada employees and contractors
- Send project work order request to Facilities Manager for review
- Create/ sendPurchase Requisitions and purchase orders for all Facilities Maintenance work
- Validate all information provided by contractors or vendors are in CMMS and coordinate with contractors or vendors for missing information
- Monitor and Maintain Expense tracking summary file on an annual basis
- Maintain work instruction - CMMS (Facilities Maintenance System)
- Perform utilities and waste management audit for each site based on usage and report to Facilities Manager
- Provide CMMS training to new users and existing users, including vendors and existing user as needed
- Other duties as assigned
**Compentencies**:
- Highschool completion is required, college or university completion in related field is preferred
- 1-3 years working experience in administrative, purchasing or supply chain environment preferred
- Experience working or exposure to Facilities Management a strong asset
- Knowledge of materials used in various trades (plumbing, carpentry, electrical, painting) a strong asset
- Knowledge of CMMS system “Fiix” & purchasing & Invoicing software (Baan & Doxis) preferred
- High attention to detail and data input accuracy
- Self motivated, comfortable working independently as needed
