We are searching for a business-savvy Personal & Executive Assistant to support the CEO with project management, scheduling, organizing materials, and more for multiple companies. This role will involve positive relationship building, creating good project management and organizational systems, handling critical business information, ensuring meetings and materials are efficient and effective, and serving as a trusted partner to the CEO in achieving business plan priorities.

This is a hybrid opportunity located in Ottawa, Ontario.

About the role
- Serve as a liaison between the CEO and internal and external stakeholders
- Maintain the CEO’s calendar, including scheduling meetings, appointments and speaking engagements and organizing related travel arrangements
- Assist the CEO with strategic planning and operational activities, including planning, prioritization, initiation, execution and training
- Assist the CEO in the preparation and distribution of presentations, documents, reports, spreadsheets, tables and charts
- Attend meetings and prepare the initial draft of minutes and summaries
- Prepare, reconcile and submit expense report, if required
- Perform other related duties as required, including supporting other departments or executives as needed

About you
- University degree or college diploma or equivalent experience required
- Able to work in English and in French is preferred
- Prior experience in the professional services or business association industry is preferred
- 1+ year(s) of experience in supporting a senior executive or team
- Strong knowledge of general office procedures
- Superior time management, organizational and multitasking skills
- Expert skills in Microsoft Outlook, Excel, Word and PowerPoint
- Exceptional writing, editing and proofreading skills
- Energetic and eager to tackle new projects and ideas
- Experience in designing social media posts using Canva considered an asset
- Flexible with their work schedule to monitor early morning and evening requests
- Adaptable to changing business needs, conditions and work responsibilities
- Trustworthy and respected through consistent honesty and professionalism in all interactions
