**Position Overview**

The Executive Administrator will be responsible for managing office operations, coordinating executive calendars, organizing meetings, and providing ad-hoc administrative support across various departments. This individual will play a critical role in ensuring our workspace is well-maintained and equipped, supporting a productive and professional environment for all team members.

**Roles and Responsibilities**

Office Management:

- Oversee the organization and maintenance of the office, ensuring a clean and welcoming environment.
- Coordinate office cleaning services and manage relationships with external vendors (cleaners, maintenance, etc.).
- Handle general office upkeep tasks, such as organizing recycling and waste disposal.
- Ensure the office is well-stocked with snacks, beverages, and office supplies.

Executive Support:

- Manage executive calendars, scheduling meetings, appointments, and travel as needed.
- Organize internal and external meetings, including booking meeting rooms, preparing agendas, and arranging for necessary materials.
- Assist with the preparation of presentations and documents for executive meetings.
- Serve as a gatekeeper, managing correspondence and communications on behalf of the executive team.

Administrative Tasks:

- If the executive team requests, provide general administrative support to the wider team, including document management, data entry, and file organization.
- Assist in coordinating company-wide events, team meetings, and other functions as needed.
- Support onboarding activities for new employees, ensuring a smooth integration into the office environment.
- Handle ad-hoc tasks and projects as requested by the leadership team.

**Qualifications**
- Proven experience as an administrative assistant, office manager, or executive assistant, preferably in a retail or fast-paced environment.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and manage several priorities at once.
- Strong communication skills, both written and verbal.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Ability to maintain discretion and confidentiality.
- Proactive problem solver with a positive, can-do attitude.
