**Administrative Assistant (6 Month Contract)**

We are looking for an Administrative Assistant (6 Month Contract) for our Peterborough, Ontario site. BWXT NEC's Fuel Handling and Engineered Solutions group is involved in the design, manufacture, development, testing, parts supply, and service of on-power refueling, reactor maintenance, and nuclear medicine delivery tooling sold around the world. We are the original designer of the automated systems that allow 24/7 on power refueling of CANDU reactors and aim to solve some of the Nuclear Industry’s most challenging problems. Today, BWXT’s equipment is being used in most of the nuclear power plants in Canada and is critical to delivering carbon free energy production and lifesaving medical isotopes.

**Job Summary**:
You are enthusiastic and an independent thinker who is able to manage unpredictable situations. You must be able to be proactive, be organized and resourceful while maintaining an adaptable and positive service attitude. An Administrative Assistant executes a broad variety of tasks and is involved in several aspects of the business. Acting as the assistant for the local Director(s) and supporting the overall management team this role also acts as the main point of contact for the office staff. Duties will include a wide range of executive level support ranging from: coordination of information flow, corporate travel planning, ensuring accurate and timely delivery of senior level administrative services, in addition to a variety of tasks related to strategic projects and key initiatives.

**What you will be responsible for**:
**Administrative Assistant Support**
- Provide administrative support for the Executive team.
- Effectively plan, schedule and execute all special projects assigned.
- Researche, write, prepare and coordinate background material, presentations and/or briefing notes for responses to inquiries and for meetings and reports.
- Receive, redirect and respond to communications addressed to the Director and take appropriate action to ensure urgent matters are dealt with quickly.
- Create high-quality materials for meetings and presentations.
- Provide research support for special projects.
- Manage travel arrangements including airfare, hotels, cars and travel documents.
- Prepare expense reports.
- Support ongoing development and improvement of the management system processes and procedures.

**General Office Support**
- Liaise with all levels and departments of the company in a positive and professional manner at all times. Facilitating an effective communication system for the dissemination of information or communication to the right people at the right time in the right manner.
- Ensuring appropriate document control and compliance through filing, composing, and editing documents and reports.
- Create and manage the administrative services and systems required for the business.
- Identify best practices and procedures in office administration and programs and implements changes.
- Assist in new employee onboarding as required, including workspace assignments, organization chart updates and other general office administration support.
- Assist with projects and inter-office committees, such as preparing from rough draft, formatting and circulating agendas and minutes, correspondence, reports and documents.
- Supports Volunteer Team
- Supports Employee Engagement initiatives
- Supports Employment Equity Committee
- Leads/supports Recreation Association Team
- Oversee office operations including coordinating conference room bookings, scheduling for other Department staff, catering arrangements, and ensure the maintenance of housekeeping to ensure a smooth workflow and safe working environment.
- Monitor the kitchen, boardrooms and common areas and generally ensure order and cleanliness, and managing and re-ordering consumables as needed. Acting as a point of contact with the facility and office cleaning management.
- Oversee and coordinate all meetings and schedules of activities involving the Executives, Managers and Visitors (including company events).
