Overview:
Rootree is seeking a highly organized and detail-oriented Production Administrator to join our team in Burlington, Ontario. The Production Administrator will be responsible for managing production workflow, coordinating work orders, administrating scheduling, controlling inventory, and ensuring quality case management resolution. This position is critical in ensuring smooth and efficient production operations, and will work very closely with the VP of Operations.

Key Responsibilities:

- Work Order Management:

- Receive Sales orders and process work orders for production and internal teams.
- Ensure accurate and timely entry, accuracy, and closure of work orders within the system.
- Coordinate with production teams to confirm job specifications and requirements.
- Track progress and update staff and management on work order status.
- Ensure bill of materials (BOMs) are accurate and any change order is processed within the guidelines of our standard operating procedures, and under the direction of the VP of Operations.
- Production Scheduling:

- Work with VP of Operations to maintain accurate production schedules to ensure on-time delivery.
- Collaborate with the production team to allocate resources efficiently.
- Work with VP of Operations to adjust schedules based on changing priorities, material availability, and unforeseen delays.
- Monitor and communicate production timelines to stakeholders.
- Inventory Control:

- Monitor inventory levels of raw materials, packaging, and finished goods.
- Implement efficient inventory management practices to minimize waste and ensure material availability.
- Conduct regular inventory audits to maintain accurate records.
- Work with suppliers to ensure timely delivery of materials.
- Quality Case Management:

- Manage quality case processes, ensuring all resolutions are communicated in a timely manner to the customer service team.
- Coordinate with quality assurance teams to resolve any issues or defects.
- Maintain records of case management system including any corrective actions taken.
- Collaborate with the production team to implement continuous improvement measures.
- Reporting and Documentation:

- Prepare daily, weekly, and monthly reports on production, inventory, and quality control.
- Maintain up-to-date records of work orders, schedules, and inventory levels.
- Assist in preparing reports for management review and decision-making.

**Requirements**:

- Proven experience in a production administration or similar role, preferably within a manufacturing environment.
- Strong organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced setting.
- Proficiency in production planning software and ERP systems considered a strong asset.
- Excellent communication and problem-solving abilities.
- Knowledge of inventory control practices and quality management systems.
- Attention to detail and a proactive approach to resolving issues.
- Ability to collaborate with cross-functional teams to ensure operational efficiency.

Qualifications:

- Post-secondary education in business administration, supply chain management, or a related field.
- 2+ years of experience in production or inventory control, preferably in a manufacturing environment.
- Familiarity with sustainability practices in packaging or manufacturing is an asset.
