Are you a detail-oriented professional with a knack for organization and a passion for the heavy equipment industry? We're seeking a dedicated and positive team player to join our Earth Moving Service Department.

In this role, you'll handle all administrative aspects, ensuring smooth operations and supporting our team in delivering top-notch service. Your responsibilities will include; work orders, time entry, report entry, purchase order and vendor invoice processing. **Responsibilities**:

- Assist with the preparation of customer quotations, warranty claims, invoice prep, and overall work order administration (opening, closing and maintenance)
- Clarify and revise technician service reports before they are entered into the system
- Perform LiDAT system maintenance and updates, update LISA system with Service Checks and history of all machines while under warranty
- Maintain and continue to update the Machine File for all new units
- Liaise with customers for purchase orders and to provide repair time-lines as needed
- Prepare purchase orders for vendors and follow-up on deliveries as needed
- Assist with arranging equipment shipping and transport as needed
- Assist with MARC/PM spreadsheet and monthly invoicing
- Liaise with Parts regarding requirements for specific jobs, ordering, shipping, etc.
- Maintain effective, accurate reporting, data management and record keeping
- Assist and backfill for other service team members in their absence
- Other duties as assigned

**Competencies**:

- 2+ years experience in administration, purchase orders, and customer service is an asset
- High school diploma or equivalent required; Business Administration Degree or equivalent is a plus
- Strong organizational skills and excellent customer relations
- Dynamic team player with a positive attitude
- Ability to interact and communicate professionally at all levels of the business and with customers.
- Proficiency with computer systems; Word, Excel (MS Office package)
- Experience with systems such as Baan or SAP is an asset
- Detail-oriented with strong organizational, verbal, and written communication skills.
- This position follows a Monday to Friday schedule, office environment 5 days per week
