Dock Master and Property Coordinator

**Overview**
The Dock Master and Property Coordinator reports directly to the Property Manager, oversees the daily operations of the loading area including adjacent support areas and other areas managed by the shared facilities, is responsible for providing friendly, courteous assistance to owners, tenants, trades, and vendors of the shared facilities owned by a residential condominium corporation, commercial (office) component, retail component and commercial parking component.
The Dock Master and Property Coordinator is required to work independently with the least amount of supervision and is expected to develop a good working rapport with owners, tenants, trades, and vendors and demonstrate strong time and facility management skills. A diplomatic professional attitude must be always maintained when dealing with the public, owners, tenants, trades, vendors and property management staff of the residential condominium corporation and various components.
- Outstanding punctuality, ability to keep up with deadlines and work under pressure and changing priorities.
- Strong customer service and interpersonal skills.
- Working knowledge of loading docks and dock equipment (such as dock leveler, lift etc.).
- Working knowledge of high‐rise building HVAC and plumbing systems is an asset.
- Solid traffic management skills.
- Excellent communication skills and ability to follow/provide clear instructions.
- Excellent problem‐solving skills, resourcefulness, decisiveness, and use of independent judgment.
- Ability to multi-task and coordinate services between all parties.
- Ability to ask questions and probe effectively to clarify project tasks and understand business needs.
- Prior experience working on a loading dock is an asset
The Dock Master and Property Coordinator’s responsibilities include but not limited to:
- Supervise the loading, unloading, and temporary parking for all users of the loading area.
- Coordinate with the residential condominium corporation and all other components including their respective property management teams, as applicable, and manage the scheduling and notification of all loading area deliveries, moves and collection of garbage, recycling materials, organics and oversized refuse while maintaining a clear and efficient flow within the loading area.
Job Description ‐ Loading Dock Mater and Property Coordinator
- Utilize the electronic software platform, if required, to facilitate the elevator and loading bay moves and deliveries. Ensure it is always up to date.
- Clean and maintain the floor area within the loading facility to ensure safety, security, and productivity.
- Ensure that the receiving area is never left unattended/unlocked.
- Direct traffic by facilitating access for contractors, trades, and vendors and resolving logístical and/or loading conflicts.
- Maintain a safe work area and ensure all users of the loading area adhere to loading area rules, safety requirements and regulations.
- Collect payments such as usage fees, and security deposits, if applicable, as per the agreement for the loading area.
- Keep written reports of loading area conditions including repairs and adjustments made and bring them to the attention of the Property Manager.
- Work in a professional manner with superintendents, cleaners, and security officers with the daily affairs of the residential condominium corporation, commercial (office) component, retail component and commercial parking component.
- Assist and record on log sheets all various complaints/concerns and needs of our clients daily.
- Prepare written responses to routine inquiries.
- Perform regular inspections including checking the overall appearance, deficiencies, landscaping, fire equipment, and other dock and building equipment as per the Property Manager’s Instructions.
- Be familiar with floor areas, exits, and locations of firefighting equipment at the building and shared facilities areas.
- Coordinate service requests with vendors and ensure timely service delivery.
- Monitor vendor performance and escalate issues to Property Manager when needed.
- Conduct regular site walks and document findings.
- Other duties within the scope, spirit and purpose of the job, as required.
Pay: $20.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
- Day shift
- Holidays
- Monday to Friday
- Overtime
- Weekends as needed
