This role will help to ensure an excellent Client Experience for every visitor to the Downtown Toronto Showroom taking responsibility for an immaculate, well managed showroom, and organized meeting schedules, catering and client assistance, as required. Assist the Toronto Sales Team in all showroom-based activities, with the ultimate goal of furthering the achievement of the Toronto Sales Team sales objectives. Conduct, demeanour and grooming to meet the high professional and ethical standards reflective of a professional workplace and reflect the Teknion Brand.
Manage day to day office/showroom operations of Downtown Toronto Showroom facility. Provide assistance as needed to 2 Regional Vice Presidents, Toronto Sales (Central Canada, A&D and Corporate Accounts) and sales and administrative support: approx. 20 staff.
Work collaboratively with Sales Coordinator on day-to-day showroom activities and client and sales team requirements. (see breakdown of duties, attached)
Take responsibility for an immaculate, well-run and organized work environment through keen observation skills, attention to detail, and a commitment to continual improvement.

Client Experience
- Greet visitors
- Provide services necessary for effective showroom presentation. Arrange catering for frequent lunch and learns and client meetings. Provide refreshments for visitors to showroom. Arrange gifts
- Conduct showroom tours for “drop in” visitors, as a back-up to sales team
- Coordinate technology set-up to support client meeting/presentations

**Facility Management and Showroom Operations**
- Co-ordinate all aspects of showroom to ensure effective function of showroom.
- Manage all aspects of showroom facilities
- lighting, heating, phone & data systems, interior maintenance and upkeep
- Supervise cleaning staff
- Order and maintain office supplies
- Provide technical support for all office equipment
- phone, computers, printers, photocopiers.
- Maintain Business Centre, including ordering and stocking of office supplies, stationary, courier packaging and maintenance of the photocopier
- Oversee Kitchen Cleanliness, manage team expectations - Dishwasher duties etc.

Administrative Support
- Provide administrative support to 2 Regional VPs, Toronto i.e. expense reports
- Prepare boardroom (conference lines, refreshments, IT, agendas) and clean up for team meetings
- Order catering for offsite lunch & learns
- Manage Cheque Requests, Invoicing and Vendor Master Records
- Maintain and update Toronto Sales Calendar, track and report on showroom visits
- Track Vacation Requests

Event Coordination
- Assist with event co-ordination for sales and marketing events ie. Dealer Holiday Party etc.
- Provide help and assistance as required on designer/dealer events
- Participation in evening events/after hours will be required from time to time

QUALIFICATIONS / EDUCATIONAL REQUIREMENTS**

- University or College education, with a degree or diploma in Business Administration, Sales or Marketing
- Minimum 3 years related experience, with a background in a customer service oriented environment
- Must be highly organized with the ability to multi-task
- Must be a resourceful, detail-oriented and flexible individual
- Excellent interpersonal and communication skills
- Proficient in Microsoft, Word, Excel, and Powerpoint. Database knowledge is also an asset.
- An understanding of the Architecture and Design Industry would be an asset
