**Role Description Summary**

The Administrative Assistant/Medical Office Assistant at Infini Health plays a integral role in supporting the day-to-day operations of Infini Health. The primary responsibilities typically include a combination of records management and filing, organizational, and administrative tasks. This position requires excellent communication, organizational skills, the ability to prioritize and multitask and a commitment to providing exceptional customer service to ensure a positive experience for every patient.

**Key Responsibilities**:
**1. Patient Care & Service**
- Greet patients, visitors, and staff in a professional, welcoming, and warm manner.

**2. Scheduling**
- Manage, schedule and coordinate appointments for patients, physicians, and staff.
- Book follow-up appointments as needed.
- Maintain accurate and up-to-date scheduling calendars.

**3. Patient Coordination**
- Assist with patient check-ins and provide in-person patient supervision as needed.
- Verify insurance information, collect necessary forms, and provide basic information regarding procedures and office policies.

**4. Documentation Management**
- Maintain accurate and organized patient records, including medical histories, consent forms, and billing information.
- Ensure compliance with regulations surrounding privacy and confidentiality in accordance with FOIP, Alberta Netcare etc.

**5. Office Administration**
- Input medical reports, images, and other patient records into healthcare software systems.
- Assist and manage scanning and faxes.

**6. Team Collaboration**
- Work closely with medical staff, nurses, and other administrative team members to ensure smooth office operations and patient care processes.

**Qualifications & Skills**

**Education & Experience**:

- High school diploma or equivalent (required); Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field (preferred).
- Previous experience in an administrative role for **1-2 years** preferably within a healthcare setting.
- Solid understanding of healthcare administration, regulations, compliance, and industry best practices.

**Skills & Competencies**:

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience using healthcare management softwares (e.g., EMR systems), PACs, and other clinic software.
- Excellent communication skills (both verbal and written), with a focus on customer service.
- Strong attention to detail, multitasking abilities, and organizational skills.
- Ability to maintain confidentiality and adhere to healthcare regulations.
- Professional demeanour and the ability to handle sensitive patient information with discretion.
- Key competencies include adaptability, problem-solving, team collaboration, and technology proficiency.

**Working Conditions**:
