**Statement of Purpose**:
New Life Electric is a growing electrical contracting company committed to delivering high-quality residential and commercial electrical services. We're looking for a proactive and highly organized **Office Administrator** to support our daily operations, help implement and streamline administrative systems, and serve as a communication hub between our field team and office. This is an opportunity to be an integral part of a company building strong systems, team culture, and long-term growth.

**Key Responsibilities**:
**Daily Operations**
- Coordinate daily priorities and task reminders for management
- Track daily work from field staff to assist in invoicing
- Prepare and finalize invoices for approval
- Maintain up-to-date project entries in Contractor Foreman (CF)

**Administrative Functions**
- Implement systems for job invoicing and cost tracking
- Data entry of job info, labor, and material costs
- Back-costing jobs to evaluate profitability
- Maintain permit tracking and assist in pulling permits

**Communication & Coordination**
- Follow up with clients, builders, and vendors
- Coordinate with field staff for job time entries, completion notes, and material needs
- Track vehicle service and maintenance
- Conduct post-job satisfaction calls to clients
- Organize receipts, statements, and bookkeeping tasks in coordination with bookkeeper

**Key Performance Indicators (KPIs)**:

- Timely, accurate invoicing and project closeout
- Up-to-date client/job folders and internal checklists
- Smooth communication between management, office and field teams
- Accurate tracking of permits, receipts, and hours
- Consistent implementation of daily/weekly workflows

**Education**:

- College diploma or equivalent administrative experience.
- Familiarity with Contractor Foreman, or other construction management software is an asset
- Familiarity with Quickbooks online

**Experience**:

- 2+ years in office administration (electrical or construction industry preferred)

**Required License or Certifications**:

- Valid driver’s license (Class 5 or equivalent)

**Skills**:

- Strong communication and interpersonal skills
- High attention to detail and organization
- Ability to manage multiple priorities and deadlines
- Comfortable using spreadsheets, trade software, and project tracking tools
- Familiar with Gmail and Google Drive
- Self-motivated and able to work with mínimal supervision
- Professional written and verbal communication

**Job Types**: Full-time, Permanent

Pay: $23.00-$28.00 per hour

Expected hours: 30 - 40 per week
