Office Administrator/bookkeeper

**Responsibilities**:
**Office Administration & Coordination**
- Manage and organize daily office operations, ensuring a smooth workflow.
- Provide accurate and timely quotes for services.
- Process and confirm bookings, coordinating with customers to ensure all details are clear.
- Manage inbound and outbound calls, including making cold calls to potential customers to generate leads.
**Customer Service & Communication**
- Act as the primary point of contact for customers, delivering outstanding service.
- Process payments and handle related inquiries professionally.
- Maintain and update the company calendar, scheduling services, appointments, and coordinating staff availability.
**Staff Scheduling & Support**
- Organize staff schedules to meet operational demands and maximize productivity.
- Assist field operations as needed to support the team or meet project requirements.
**Bookkeeping & Financial Management**
- Track and record expenses, process payments, and prepare basic financial reports.
- Manage light bookkeeping tasks, including data entry and financial tracking in QuickBooks Desktop.
- Assist with payroll preparation and ensure accurate financial record-keeping.
**Filing & Documentation**
- Maintain organized filing systems for all company records, including digital and physical files.
- Ensure documents are stored securely and can be retrieved efficiently.
**Inventory & Supplies Management**
- Order office supplies and manage inventory to support daily operations.
**Requirements**:
- **Experience**: Proven experience in office administration, customer service, or a similar role with light bookkeeping responsibilities.
- **Skills**: Strong organizational skills, attention to detail, and multitasking ability.
- **Interpersonal Skills**: Excellent communication and customer service skills with a positive, proactive attitude.
- **Flexibility**: Ability to assist in the field as needed.
**Preferred Qualifications**:
- Experience managing an office environment with various changing priorities.
- Familiarity with [industry-specific software, if applicable].
