**POSITION OVERVIEW**:
We are seeking a highly organized and detail-oriented Director of Client Care to support our sales team and executive leadership in managing the sales process, sales automation, and lead management and client acquisition. This role will oversee daily CRM activities using HubSpot, ensure data accuracy, and drive sales reporting and analytics. As a key player in our operations, this position will ensure seamless sales processes, enabling a high-performing sales team and fostering strong client relationships.
**AREAS OF RESPONSIBILITY**:
**Sales Support**:
- Provide strategic administrative and operational support to the sales team, including Account Executives (AEs), the CEO, COO, and Chief Movement Officer (CMO), to ensure the smooth execution of business development and sales activities.
- Assist in preparing sales proposals, presentations, and contracts.
- Manage calendars and schedule client and prospect meetings for the sales team.
**CRM Management**:
- Oversee the HubSpot CRM system, ensuring accurate and up-to-date customer information.
- Track and monitor sales activities, maintaining a well-organized sales pipeline across all stages.
- Generate and analyze CRM reports to evaluate sales KPIs and provide actionable insights for management.
**Sales Documentation**:
- Ensure all sales documents, contracts, and agreements are properly filed, organized, and accessible.
- Assist in creating and delivering sales-related materials to clients.
- Support the sales team in documenting account information and managing follow-ups
- Develop the HubSpot sales automation, Quote generation, Proposal, Contract Draft
- Work with HubSpot consultant as achieving all requirements.
**Reporting & Analytics**:
- Compile and analyze weekly and monthly sales reports, tracking KPIs such as sales targets, deal progress, and conversion rates.
- Provide insights to sales leadership to identify opportunities for performance improvement.
- Support forecasting, budget tracking, and account performance analysis.
**Client Relations**:
- Act as a point of contact for pre sales lead inquiries, resolving administrative or process-related questions promptly.
- Update HubSpot lead status, sending the appropriate marketing materials and assign account to each sales executive.
- Coordinate follow-ups with new inbound leads and “contact us” requests to maintain high levels of client satisfaction and drive sales conversion.
- Collaborate with the customer onboarding team to ensure all required paperwork and documentation are complete and up to date.
**Team Collaboration**:
- Work closely with the sales team and cross-functional departments, such as Education and Customer Success, to ensure alignment and a seamless sales process.
- Assist in coordinating internal sales meetings, presentations, and training sessions.
**QUALIFICATIONS**:
- A diploma or degree in Business Administration, Sales, or a related field.
- 3-5 years of proven experience as a Sales Administrator, Sales Coordinator, or in a similar role.
- Proficiency with HubSpot CRM or similar CRM systems.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Location: Hybrid (Local to the Greater Toronto Area preferred).
