Respecting our trades people every day as partners and professionals in their fields, and building lasting relationships build on mutual respect, is paramount for this position and for Freshco. **Job Summary**: Freshco’s Invoicing coordinator is part of the finance team and is responsible to create, price and submit invoices to multiple clients across Canada and the US by following our approved rates and platforms. The invoicing coordinator is expected to communicate respectfully to all divisional team members, adhering to company policies and procedures. Performs administrative duties and manages internal systems according to the Invoicing Managers direction and procedural manual. **Responsibilities of this position include, but not limited to the following**: - Invoices clients in our accounting system, NetSuite and Client Platforms. - Run and manage daily reports on work orders that have been moved to needs Invoicing and client reports as required. - Contact coordinators with outstanding items. - Escalate questions and problems to Facilities Managers - Using our client rate sheet, pricing work orders that are not previously quoted. - Following our internal invoicing procedures manual for clients and providing needed updates to the Invoicing Manager. - Preparing and inputting invoices into the company accounting system and Client Invoicing systems as needed. - Updating financial data within the work order or project in QuickBase. - Utilizing your best judgment on maximizing margins for the best interest of the company. - Updating client platforms when required. - Manage/audit tech bills before printing and forwarding to accounts payable for processing. - Manage daily/weekly specific invoicing reports as per managers direction. - General administration skills - Communicate with coordinator/project managers using internal task communication tool when required. - Attends weekly meetings with invoicing team. - Timely resolution of billing errors that clients may flag. - Works closely with members of the invoicing/accounting staff. - Collaborate with all Freshco divisions **Education and other skills**: - Strong oral and written communication skills. - Exceptional client service and interpersonal skills - Intermediate level computer skills with proficiency in MS Office - Word, Excel, Outlook. - Experience using QuickBase, Service Channel, and/or other CRM/CMMS platforms. - Experience in accounting or NetSuite is an asset. - Exceptional organization and time management skills with adaptability in necessary prioritization. - Attention to detail, analytical and critical thinking skills with solution-based decision making. - Ability to learn to meet the changing requirements of the position.
