**About the Role**
As a Front Desk Administrator, you'll be at the heart of our daily operations. This role is primarily focused on data entry, but also includes occasional front-line communication with staff, clients, and brokers. Your precision, organization, and ability to manage multiple tasks will ensure the accuracy and integrity of our client records and help keep our office running smoothly.
**Key Responsibilities**
- Accurately enter customer and account data from source documents within designated timeframes.
- Verify, sort, and prioritize incoming data for entry.
- Update existing records, identify errors, and make necessary corrections.
- Follow up on incomplete documentation and gather missing information from staff or brokers.
- Maintain the integrity of our databases using established data entry procedures.
- Generate internal reports and file completed work appropriately.
- Perform routine data backups and ensure all information is securely stored.
- Handle scanning, printing, and filing of documents as required.
- Answer incoming calls professionally and direct them to the appropriate team member.
- Maintain confidentiality of all sensitive client and business information.
- Support day-to-day office functions and assist with resolving technical or equipment issues.
**What We're Looking For**
**Education & Experience**
- High school diploma or equivalent is required.
- Prior experience in a front desk or administrative role is an asset.
- Experience with insurance platforms (e.g., Intact, Aviva, Wawanesa, Economical) is a strong plus.
**Skills & Qualities**
- Accurate typing skills (60+ WPM).
- Detail-oriented with excellent organizational skills.
- Proficient with spreadsheets, online forms, and office software.
- Clear, professional communication—both written and verbal.
- Strong multitasking and problem-solving abilities.
- Comfortable interacting with team members and clients when needed.
- Able to work both independently and collaboratively in a fast-paced environment.
