Reporting to the Controller, the Administrative Assistant will be the positive first impression that others will have of IMT Ingersoll. This person will assist management in making sure that all general areas of staff related business is maintained and scheduled. They will be initially responsible for all calls, visitors as well as scheduling and requirements for meetings.

**Skills and Requirements**:

- Grade 12 or equivalent combination of education and experience
- Previous experience in an administrative position is an asset
- Strong PC skills i.e. Word, Excel, PowerPoint, and MS Outlook
- Extremely detail oriented
- Proven ability to effectively prioritize workflow
- Excellent interpersonal, written and oral communication skills
- Ability to exercise good judgment, show initiative and be proactive
- High standards of ethics and confidentiality to handle sensitive information
- Excellent calendar management skills, including the coordination of complex executive meetings

**Responsibilities**:

- Greet clients and visitors to the office and provide visitors with necessary assistance and direction
- Maintain guest records
- Answer and manage incoming phone calls using main switchboard
- Prepare and distribute incoming and outgoing mail and courier packages
- Oversee scheduling of meeting rooms
- Plan, organize and coordinate functions and special events
- Travel arrangements for management team as required
- Prepare and/or edit internal and external written communication
- Assist with the preparation of business presentations
- Assist with account payable filing and overflow data entry
- Maintain and order inventory levels for office and kitchen supplies
- Assist management with other duties as assigned
