**The Opportunity**:
We are seeking a highly organized, resourceful, and values-aligned Operations & Administrative Coordinato**r** to support the smooth functioning of our clinic’s internal operations and the Executive Director. This part-time role combines administrative coordination, financial support, and executive assistance. It’s ideal for someone who thrives in a flexible, hybrid work environment and is passionate about working with a mission-driven team serving Black communities.
**Key Responsibilities**:
**Executive & Administrative Support**
- Provide day-to-day support to the Executive Director (ED), including managing calendars, scheduling meetings, and preparing agendas and communications
- Draft correspondence, reports, and presentations
- Ensure smooth coordination with internal and external stakeholders
- Maintain confidentiality and professionalism in all interactions
**Financial Administration**
- Work with the accountant to support budgeting, reporting, and financial controls
- Track and report expenses, manage cash flow, and liaise with vendor
- Prepare documentation required for funder reporting
**HR & Volunteer Coordination**
- Support payroll and benefits administration
- Help develop and manage a volunteer program
- Maintain up-to-date HR policies and ensure compliance with legal standards
**Operations & Office Coordination**
- Maintain office systems, supplies, and facilities (in collaboration with landlord)
- Ensure compliance with privacy, health & safety, accessibility, and records regulations
- Help coordinate internal meetings and organizational communications
**What You Bring**:
- 3+ years in administration, finance, or nonprofit operations
- Experience supporting a senior leader or executive is a strong asset
- Proficiency in Microsoft Teams & Office (Excel, Word, Outlook)
- Strong organizational, communication, and problem-solving skills
- Ability to take initiative and work independently with mínimal supervision
- Commitment to equity, reproductive justice, and culturally safe care for Black families
- Lived experience or deep engagement with Black communities is highly valued
**How to Apply**:
**Job Type**: Fixed term contract
Contract length: 10 months
Pay: $35.00-$38.00 per hour
Expected hours: 14 - 21 per week
