Dental Receptionist

We are a friendly growing dental office that prides itself in exceptional customer service and outstanding dental care. Uptown Dental Centre is located on the main floor of the First Edmonton Place, which is located just a block away from an LRT station. We are seeking a friendly, professional & outgoing individual to fill the permanent position of a full time Dental Receptionist as described below. There are no weekends or late evenings for this position and the start date is flexible. **Competitive compensation is offered and negotiable based on education and experience.**
Job Summary:
This position is responsible for greeting and assisting patients the moment they enter our dental office. The Dental Receptionist creates appointments for patients and maintains their records and accounts. Dental Receptionist also helps coordinate the dentist's schedule, bill patients and their insurance companies. Our Dental Receptionist will also maintain A/R and coordinate treatment plans as needed.
**Duties and Responsibilities**:
- Reception Management_
- Manage day-to-day operations of the reception area
- Open and close dental office according to the office protocol
- Maintain a professional, organized and neat reception area, including reception desk
- Check the daily schedule for accuracy
- Patient Management_
- Greet and welcome patients and visitors to the practice
- Check-in patients according to the office protocol, while verifying and updating their information
- Inform and explain office policy to patients
- Confirm the next day’s appointments and communicate with patients
- Schedule patients for efficient use of doctor and staff time according to the office protocol
- Check and maintain patient short-notice list to fill in cancellation and no-show appointment times
- Collect payment from patients at the time of their treatment according to the office policy
- Schedule follow-up appointments as needed
- Conduct conversation with patients in a positive and professional manner
- Records Management_
- Gather and accurately record insurance information from patients
- See that records are stored securely and handled in compliance with current privacy policy and legislation
- Accurately record, store and/or file patient information
- Track cases and referrals to and from other doctors
- Insurance_
- Update insurance information on all patients at all times
- Submit treatment plans for predetermination of benefits
- Generate claim forms for patients with dental insurance
- Organize supporting materials for claim forms, such as radiographs or doctor’s notes, as directed by the dentist
- Mail or electronically submit claim forms from the office
- Assist in the resolution of problems with third-party payers Inventory
- Accounts Receivable Management_
- Enter patient financial activity in Gold
- Maintain accounts receivable activity
- Prepare statements and financial reports
- Follow-up on insurance claims
- Follow-up on overdue accounts
- Billing_
- Prepare billing statements promptly and accurately
- Process and post checks received each day
- Manage patient financial accounts
- Other Duties_
- Correspondence sort, organize, and distribute mail
- Actively participate in professional training activities
- Be an active and considerate team player
- Perform other tasks as assigned by the dentists and management
EDUCATION AND CREDENTIALS REQUIRED:
- High school diploma
- Previous dental office experience preferred but not required
KNOWLEDGE, SKILLS AND ABILITIES:
- Strong interpersonal and communication skills to maintain effective rapport with patients, dentist, other staff members and community
- Positive attitude and warm welcoming personality is a must
- Team player who is able to adapt to office policy improvements (office is constantly striving for improved customer care/service)
- Customer service or patient relations experience
- Accurate data entry skills
- Previous experience with insurance billing is an asset
- Knowledge of GOLD Dental Management System is preferred but not required
