**Job Summary**:
As the front desk administrator, you are the face of Macdonald Realty at your office and the critical link that brings the office culture to life. You are an integral part of the process, connecting with staff, agents, and clients alike, making things happen and bringing energy and positive attitude to the role. You are the person agents see the most in the office. They rely on your diverse talents to support their business, from public first impressions, to office administration, to creating their marketing materials.

Working closely with the Office Manager/Managing Broker, you play a key role in executing initiatives and events at your office, communicating clearly, and constantly looking for resourceful ways to improve processes. Management will look to you to help promote these tools in support of your agents’ business and success.

You view this as an opportunity to shape and contribute to the office environment using your entrepreneurial spirit, while simultaneously maintaining your administrative responsibilities.

**Duties and Responsibilities**:
**Office/administration**
- Greet/assist clients in a friendly and business-like manner, ensure reception and office is tidy, including meeting rooms
- Answer all incoming calls and transfer as necessary, maintain opening and closing phone procedures
- General administrative duties including electronic filing, photocopying/scanning, data entry, word processing, printing, etc.
- Monitor office equipment and arrange service when needed
- Manage invoices for supplies and services
- Monitor, refill and maintain inventory of kitchen of office supplies
- Receive/arrange courier services

**Agent Responsibilities**:

- Assist the Managing Broker with new/terminated agents by submitting all necessary paperwork and facilitating the agents’ transition to the office
- Input and maintain listings for agents as required, using SkySlope, Lone Wolf, Whistler Listing System, Paragon
- Create marketing materials for agents using templates
- Order title searches, company searches, strata documents

**Skills and Qualifications**:

- Grade 12 or equivalent
- 1+ years of office administration experience and training, or combination of both
- Strong written and verbal communication skills
- Excellent interpersonal skills and telephone etiquette
- Able to self-motivate and work independently
- Quick learner and not afraid to adapt to new technology
- Proficient with MS Office (Word, Excel, Outlook, etc.)

**Job Types**: Full-time, Permanent

Pay: $40,000.00-$43,000.00 per year
