**Overview**

TrustyMed Medical Clinic is a modern, multidisciplinary family medicine and specialty clinic located in a high-growth area of Aurora. We are seeking a **highly organized, proactive, and experienced Medical Office Administrator / Assistant** to join our healthcare team. This position involves both **administrative and clinical responsibilities**, including patient coordination, office management, phlebotomy, and support for physicians and staff.

**Key Responsibilities**:

- Administrative Duties_
- Manage scheduling, appointment bookings, recalls, and waitlists efficiently
- Maintain accurate patient records and ensure compliance with **PHIPA**, **PIPEDA**, **Ontario Health**, and **York Region Public Health** regulations
- Manage billing processes, insurance claims (OHIP, IFHP, third-party), and patient payments
- Assist with onboarding of new staff, maintain HR files, and support team training and coordination
- Supervise or provide guidance to junior admin or clinical staff as needed
- Maintain clinic inventory and supplies
- Coordinate specialist referrals, diagnostic imaging bookings, and requisitions
- Use **OSCAR PRO EMR** and **OCEAN eReferral platform** for clinical workflow and documentation
- Clinical Duties_
- Greet and prepare patients for examination or procedures
- Perform **phlebotomy** and collect lab specimens following established safety protocols
- Educate patients about procedures, prescriptions, or follow-up instructions
- Prepare and sanitize exam rooms, maintain infection control standards
- Monitor vaccine cold chain and support public health compliance
- Support physicians during minor procedures as required
- Liaise with public health officials for reporting and compliance measures

**Qualifications & Requirements**
- **Minimum 2 years of experience** in a medical office or clinic setting
- **Phlebotomy Certificate and License** is **mandatory**:

- Proficient in **OSCAR PRO EMR** (required)
- Experience with **OCEAN platform** is an asset
- Strong organizational, multitasking, and leadership skills
- Excellent communication skills—verbal and written
- **Standard First Aid & CPR/AED Certification** (mandatory)
- Previous experience supervising clinic operations or staff is an asset

Pay: $20.00-$25.00 per hour

Schedule:

- 10 hour shift
- 8 hour shift
- Evening shift
- Monday to Friday
