**Position**: Project Managers Assistant
**Reports To**:General Manager and Project Managers
**General Description**
As a Project Managers Assistant, you are the key communicator for the property owner on projects. You are responsible for overseeing the scheduling, coordination, and budget for projects, and ensuring a high level of quality and service, in conjunction with the Service Level Agreements required by the Insurance Companies compliance and protocol standards.
Due to the nature of our work and the demands of our clients, flexible working hours are required though a typical work week is Monday-Friday, 7:30 a.m. to 4:00 p.m.
**Nature & Scope**
Performs a variety of in duties including:
- Assist the Project Manager with files as needed
- Create schedules for technicians and coordinate all subtrades for projects
- Assist in the development of estimates
- Act as the key contact for property owners
- Follow through to make sure timelines are met
- Creating work orders, purchase orders, and budgets
- Ensure all paperwork is filled out for each file and uploaded
- Label and upload detailed job photos
- Ensure deductibles and/or deposits are collected prior to rebuild work being scheduled
- Review hours for technicians and make changes as required
- Respond to adjusters and homeowners in a timely manner
- Perform Work in Progress meetings with Project Managers
- Ensure compliance tasks (toggles) are completed and Service Level Agreements (SLA’s) are being met

**Team Qualifications (Requirements)**:
- Dedication to customer service
- Must be able to prioritize and manage time
- Excellent written and verbal communication skills
- Problem solving and priority management skills
- Fluent in English
- Valid driver's license
- Have the ability to work overtime, if needed
- Previous restoration and/or construction experience is an asset
- Minimum 1 year of previous coordination/scheduling experience is required
- Proficiency using Outlook is a must
- Experience using Encircle, Xactanalysis, and Xactimate are an asset
