As British Columbia’s flagship convention centre, we host more than 500 events each year and welcomes hundreds of thousands of global attendees to premier conferences, trade shows, banquets and more. We are hiring a Manager, Venue Logistics with outstanding problem-solving capabilities to play a central role at this iconic venue.
**ROLE SUMMARY**:
The Manager, Venue Logistics is responsible for internal and external logistics at the Vancouver Convention Centre.
This includes move-in and move-out planning and execution, management of drop off locations and transportation, loading areas and related technologies and maintenance, deliveries, and shipping/receiving. The Manager, Venue Logistics is also responsible for maintaining stakeholder relationships with the City of Vancouver transportation departments, Vancouver Fraser Port Authority and Ceres (cruise), the Vancouver Police Department, Canada Border Services Agency, and precinct hotel/retail partners.
**WHAT YOU WILL DO**:
- Determining move-in and move-out plans in conjunction with Event Managers including staffing plans, and use of Vancouver Traffic Authority, alternate staging areas, and loading bay allocations.
- Analyzing and understanding of event composition and functions as well as supporting colleagues with planning complex event days to coordinate logistics.
- Coordinating the East & West loading docks, comprised of 2 diverse access points, 2 truck routes, and 27 loading bays.
- Providing functional supervision to loading dock staff (security) and developing a logistics-focused staffing model and business case for all loading dock operations.
- Collaborating with Facilities Management to coordinate maintenance, waste management, post-event cleanup, and contractor parking enforcement.
- Acting as the key contact for matters pertaining to transportation management for the City of Vancouver, ensuring Transportation Management Plan requirements are adhered to.
- Determining Vancouver Traffic Authority requirements including booking, briefings, and invoicing.
- Managing venue drop off locations including the Multiway, Waterfront Road, and East Plaza including approving requests, obtaining approvals, and coordinating shuttle bus programs.
- Liaising with Ceres and Vancouver Fraser Port Authority for coordination during cruise ship season.
- Managing relationships with key precinct partners including parking facilities, neighboring hotels and properties, valets, and ride-share/taxi companies.
- Maintaining relationships with key logistics partners including the Canada Border Services Agency, and customs, freight, and logistics suppliers.
- Managing electronic delivery tracking system in Ungerboeck (EBMS), ensuring staff are following procedures and materials are tracked and stored appropriately.
- Managing Voyage Control as a logistics management system for all vehicle traffic in loading areas.
- Managing the monthly in-house event, including entering cruise season details and closing month end.
- Overseeing the research, evaluation, and implementation of new technology solutions for logistics.
- Preparing business cases and decision notes for logistics related requests.
- Attending regular meetings and site visit to represent logistics and Venue Operations.
- Contributing to the development of the operating and capital budgets.
- Providing backup coverage for vacations and absences for Venue Operations.
**WHAT YOU WILL BRING**:
- Completion of a 4-year degree in Events / Operations Management or Business Administration is preferred is preferred or a combination of education and work experience.
- 5+ years’ experience in the events industry and large-scale venue operation is preferred.
- Previous experience working with logistics or inventory management software and experience working with Apple Products as collaboration tools and information sharing.
- Excellent organizational and time management skills; ability to handle multiple tasks simultaneously and prioritize effectively.
- Detail-oriented, solutions-oriented, and a fast learner.
- Demonstrated ability to be resourceful and creative.
- A team player who is self-motivated, able to meet deadlines, and able to handle many tasks simultaneously with speed, accuracy, and courtesy.
