**General Medicine Administrator**
**Key Objectives**:
- Managing BU sales related events - eHats, eCaf’s, Speaker Agreement Contracts - liaising with the Medical Team for the Doctors Fair Market Value, Invitation letters to the HCP’s of the event, Sponsorship Agreements with 3rd Parties if there is another vendor involved for events
- Raising complex PR’s using eBuy
- Following up with the payment requests with Finance
- Writing the meeting minutes of the BU meetings
- Archiving documents for events related to the BU
- Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment
- Provide high level administrative and systems expertise and support
- Coordinates with local teams in the countries planning and logistics
- Maintains up to date mailing lists for the department
- Takes initiative and independently manages special/administrative projects in dynamic fast paced environment - Monthly reports - IMS / Market Feedback / Joint Visit Reports / other adhoc product specific reports
- Manage logistics of marketing events and follow up of budget
- Assist in the preparation of documents - Sponsorship Agreements / Presentations / Flyers for Events
- Follow-up on training completion - Sales Force related
- Follow-up on HSE deliverables - Sales Force related
- Abide by the requirements of the internal Code of Ethics including but not restricted to maintaining high professional standards of conduct in line with the Company procedure with a duty of care to the reputation of the Company
- To care for his/her own safety and wellbeing and the safety of others, and to co-operate with the company to ensure a safe place of work.
**Job Holder Specification**:
- Bachelor’s degree required (Administration or Communication preferred)
- 5 years of experience in similar role / environment
- Experience supporting commercial activities, ideally in a pharma or biotech environment or other regulated industry
- Advanced level of written and verbal English
- Fully conversant and proficient in Microsoft office
- Flexibility and the ability to manage multiple tasks of equal/varying priorities is essential
- Excellent interpersonal, organization and communication skills appropriate to a multi-cultural and diverse working environment with advanced writing skills
- Ability to work autonomously and collaborate with cross-functional teams
- The ability to maintain a high level of confidentiality is critical.
- Strong problem-solving skills that allow to proactively anticipate requirements
- Enthusiastic with a positive outlook and willingness to support with honesty, consistency and reliability
- Successfully interact with a dispersed leadership team, other executive administrative assistants, and customers
- Work unsupervised once briefed
- Ability to learn and adapt
- Flexibility with time, working across time zones
- Ability to prioritize effectively with attention to detail
- Proactively communicates timetables for completion of tasks
- Tech savvy
**Location**:
**The job holder would work 3 days a week at head office and option to work remotely 2 days a week.**
Pay: $60,000.00-$65,000.00 per year
