**Position Summary**
The House Manager, Refugee Services, is responsible for the daily operations, service delivery, and resident support at one of Matthew House Ottawa’s Reception Homes. Reporting to the Senior Manager: Reception Homes, this role ensures that each home operates efficiently and safely, aligns with the mission and values of MHO, and supports residents with dignity and compassion. The House Manager plays a key role in intake coordination, resident care, volunteer supervision, and general household management.
**Key Outcomes & Responsibilities**
**1. Operations and Household Management**
**Outcome**: The home runs smoothly and supports a safe, clean, and welcoming environment for all residents.
- Oversee daily operations of the reception home, including maintenance, cleanliness, safety, and supplies.
- Manage household logistics such as groceries, inventory, and upkeep of equipment.
- Ensure timely response to maintenance and facility-related issues.
- Maintain the overall comfort, order, and functionality of the house.
**2. Resident Support & Case Management**
**Outcome**: Residents receive comprehensive support and are well-integrated into the community.
- Welcome and orient new residents under established intake procedures.
- Conduct regular check-ins with each resident to assess well-being and progress.
- Provide information and referrals to community services, including healthcare, legal aid, and immigration support.
- Maintain accurate and up-to-date resident records in accordance with MHO’s data management systems.
- Offer emotional support with empathy and cultural sensitivity.
- Work with transition house and housing support staff to facilitate resident move-outs when direct support is no longer needed.
**3. Volunteer & Staff Coordination**
**Outcome**: Volunteers and staff are effectively trained, supported, and engaged.
- Supervise and support volunteers and staff working within the home.
- Train new volunteers and placement students/interns to ensure quality service delivery.
- Collaborate with the Volunteer Coordinator for recruitment and scheduling.
- Delegate responsibilities and foster a positive and inclusive team environment.
**4. Administrative Duties & Financial Oversight**
**Outcome**: Administrative tasks are completed accurately and on time, supporting smooth program operations.
- Manage petty cash, receive and bank donations or payments.
- Maintain digital and paper records in line with privacy and confidentiality standards.
- Provide reports and updates to the Senior Manager: Reception Homes as required.
**5. Program Support & Collaboration**
**Outcome**: Contribute meaningfully to the broader goals of the Refugee Services program.
- Participate in team meetings, training sessions, and cross-program initiatives.
- Identify and communicate needs, challenges, and suggestions to improve program delivery.
- Uphold MHO’s mission, vision, and values in all resident interactions and team collaborations.
**Qualifications & Experience**
✔ **Education**: Post-secondary education in Social Services, Human Services, or a related field.
✔ **Experience**: Minimum 1 year working with refugees or in a residential support role.
✔ **Knowledge**: Familiarity with Ottawa’s social service and immigration systems.
✔**Communication**:Bilingual (English and French required); other languages are an asset.
✔**Technical Skills**:Proficiency in MS Office (Word, Excel, Outlook, OneNote); data entry experience.
✔**Interpersonal Skills**:Strong empathy, conflict resolution, and communication skills.
✔ **Compliance**: Valid Police Records Check (Level 3 - Vulnerable Sector).
✔ **Independence**: Ability to work with mínimal supervision while collaborating as part of a diverse team.
**Other Requirements**
- Ability to work occasional evenings or weekends based on operational needs.
- Willingness to adhere to confidentiality and safeguarding policies.
- In-person role at a Matthew House Ottawa reception home.
- May involve extended hours or on-call responsibilities in emergencies.
- Collaborative and diverse team environment focused on refugee support.
**Performance Metrics & Success Indicators**
**Resident Well-being**: Residents feel supported, safe, and able to progress toward independence.
**Operational Smoothness**: House remains organized, stocked, and problem-free.
**Data & Records**: Resident files are complete, accurate, and up to date.
**Team Collaboration**: Positive feedback from staff, volunteers, and peers.
**Program Participation**: Engagement in program planning and team activities.

Pay: $53,812.50 per year
