The Business Operations Coordinator is a key role within ACT Alberta, an anti-human trafficking organization dedicated to combating human trafficking and supporting survivors. The position will report to the Senior Manager of Operations, while working closely with the leadership management team to align operational, volunteer and event deliverables with the organization’s strategic goals and initiatives.
The Business Operations Coordinator will be responsible for the research and framework development of ACT Alberta’s Volunteer Program. Additionally, this position will take the support administratively on event operations, such as planning and coordinating upcoming Open Houses, Annual General Meeting, and the annual Board of Directors Retreat.
**KEY RESPONSIBILITIES**
**Volunteer Management**:
- Research and develop volunteer programs, developing a framework for ACT to utilize, including recruitment, coordination and evaluation
- Develop and facilitate the volunteer onboarding and training program
- Collaborate with department managers to develop specific volunteer positions based upon department needs, including the development of volunteer job descriptions
- Assign volunteers to appropriate roles and departments based on their skills and interests
- Maintain clear communication with volunteers to ensure their needs are met and that they remain engaged
- Organize and implement volunteer recognition and evaluation program
**Event Management**:
- Support the planning and organization of upcoming ACT Alberta Open Houses, including securing the event location, facilitating refreshments, managing the guest list and invitations, ensuring ACT branded materials and event décor
- Support the Senior Manager of Operations and Executive Director in organizing ACT Alberta’s Annual General Meeting
- Support the organization of the annual Board of Directors Retreat, including booking hotel rooms, board rooms, catering, facilitators etc.
**Operations Support**:
- Maintain accurate and accessible records
- Adapt to the dynamic needs of a growing organization, occasionally supporting various projects
- Assist the Senior Manager of Operations with special projects or day to day operational tasks
- Regularly review and enhance processes to ensure efficiency and any volunteer regulatory adherence
**QUALIFICATIONS & SKILLS**
**Education and Experience**:
- A Diploma or bachelor's in business administration, not-for-profit management, or equivalent
- Additional training or certification in volunteer management would be considered an asset
**Skills**:
- 1-2 years in an administrative role, with experience in day-to-day business operations
- Previous experience managing or coordinating volunteers or direct reports (asset)
- Experience working within the intricacies of the not-for-profit industry
- Strong organizational skills, with the ability to prioritize tasks efficiently
- Ability to work independently and collaborate with a team
- Effective communication skills to liaise with leadership, other departments, volunteers and stakeholders
- Detail oriented, ensuring accurate and transparent documentation
- Adaptable and flexible, with the ability to respond quickly to changes in organizational needs
