Overview:
The Office Manager is responsible for the overall operation of the ECAN Head Office at Airport Rd in Mississauga, Ontario through effective and efficient management of all administrative functions and support procedures. The Office Manager is the principal point of contact with the Landlord and manages key service providers to ensure optimum delivery of all services and products, repairs and maintenance for the office. The position is the primary communicator to the office employees in matters encompassing safety, emergency procedures, events, office policy, telephones, building issues, etc. The Office Manager also provides administrative support for the ECAN Land function.

**Responsibilities**:
**Health and Safety**:

- Demonstrates and promotes a commitment to communicating, improving, and adhering to safety policies in all work environments/areas and with employees, contractors and site visitors.
- Leads the Joint Health and Safety Committee.
- Completes daily verification to ensure that safety, cleanliness and hygiene standards are being met, and oversees the contracted out cleaning staff daily. Assists with the ergonomic needs for on-site employees. Designs and implements office policies, and establishes standards and procedures for the Head Office building; including emergency procedures. Is the primary contact for managing all emergencies in the building, and the main liaison with the ECAN Business Resumption Team on all emergency situations.

**Office Building Management**:

- Responsible for managing all facets of the Office building operation.
- Facilitates resolution of issues in the building until resolved (heat, plumbing, electrical, elevators, security, etc).
- Effectively manages contracts for maintenance and repairs for the building, including working with Procurement and Legal, to negotiate new terms and develop contracts.
- Requisitioning and coordination of external vendor services per maintenance agreements and repairs, as required, through contracted suppliers; including repairs of office equipment.
- Manages IT programs that control building functions (security, HVAC, phones, EV charging units passes).
- Coordinates all office moves, office reconfigurations and potential change in building.
- Responsible for office furniture, including orders, repairs/maintenance.

**Office Administrative Support**:

- Responsible for managing all administrative functions associated with the Office, including the mail room.
- Is the principal point of contact with Landlord on all building issues.
- Responsible for communication regarding Office Services and all office closures, holiday schedules, after hours and emergency messaging, and issues that impact the entire building.
- Processing of invoices for all administration contracts and investigating/correcting exception invoices from suppliers.
- Provides consultation and expert opinion on office administration, facility management, and purchasing that optimizes cost.
- Organizes events as it pertains to regional and ECAN training, along with other social events taking place at the Head Office.

**Financial**:

- Establishes the annual budget for the building in collaboration with the Senior Land Manager for CFO approval.
- Plans out required longer term improvements, and develops actions for cost savings for the building.
- Monitors the Airport Rd budget and cash flow on a regular basis, including yearly department allocations.
- Reconciles operating costs from the Landlord on a yearly basis.
- Oversees internal controls to provide reasonable assurance of effective and efficient operations, including actions to prevent and detect fraud and protect Company resources.

**Land Administrative Support**:

- Provides administrative support to the ECAN Land function; including SAP functions of setting up Purchase Orders, invoice processing, real property tax invoice processing, leasing administration, document upload and maintenance of the Land Information System, document filing, and general support to the Land team.

**Dimensions**:

- This role reports to the Senior Land Manager.
- Interacts and works closely with all departments at the Head Office.
- Works closely with the Land Group on fulfilling its primary objectives.
- Collaborates with other functions including Safety on Office building safety initiatives and emergency procedures; with Procurement and Legal on RFQs and contracts; and with the CFO on budgeting.
- Manages and develops direct reports as assigned by the Senior Land Manager.
