Administrative Coordinator (HR Department)

Full Time 35 hours per week

**Position Purpose summary**:
The Administrative Coordinator is responsible for the smooth running of the administrative functions in the HR Department and support of other staff on site, and through the Salvation Army, as well as external contractors.

**Accountabilities**:
**1.** **Admin Coordination**
- Develop, document, implement and maintain in house processes to work with those of The Salvation Army and the Union in the areas of Human Resources and Payroll
- Provide admin coordination and support as assigned
- Assist and provide information to external requests and draft employee reports for the HR Manager/ED, Union and consultants, as directed

**2.** **Human Resources**
- Assist with the administration of the hiring and termination processes
- May prepare and maintain master rotation schedules
- Adjust staffing to accommodate vacation, sick time and other absences
- Administer position tracking and assist with Vacancy Management administration
- Provide benefits management administrative support to staff
- Track and report time entries and assist with payroll and absence management
- Maintain Seniority and Casual lists providing reports as needed
- Performs all UltiPro administrative and data entry functions

**3.** **Financial and Material Resources**
- May order and distribute supplies and equipment
- Support and assist with statistical data collection and reporting

**4.** **Office Processes**
- Prepares and maintains paper and electronic filing systems ensuring the protection of personal and sensitive data
- Prepare, use, and maintain templates for various functions
- Coordinate meetings, calendars, and special events, as assigned
- Other duties may be assigned as required

**Critical Relationship Management**:

- **Internal relationships**:

- Divisional and Territorial staff in Human Resources and Finance
- **External relationships**:

- Health Employees Benefit Plan
- Information exchange with:

- Workers Compensation Consultant
- Workers Compensation Board
- CUPE

**MANAGERIAL/Technical Leadership RESPONSIBILITY**:

- This position reports directly to the HR Manager
- Does not have formal people management authority but often coordinates with other groups/departments to provide administrative support to staff

**FINANCIAL AND MATERIALS MANAGEMENT**:

- Accountable for minor materials management, maintenance, safekeeping, effective usage, and distribution of office supplies and equipment

**Working Conditions**:

- Typical office environment when working in the office with some travel
- Frequent Interruptions
- May be required to carry weights of less than 20 lbs.
- May work outside of regular business hours and may be asked to work overtime
- Consistent computer use

**Education, Qualifications and Certifications**:

- Formal post-secondary certificate or diploma in Business, Business Administration, Human Resources Management, or Finance

**Experience and Skilled Knowledge Requirements**:

- Minimum of 3 years’ relevant experience preferred
- Health care scheduling experience is an asset

**Skills and Capabilities**:

- Demonstrates an ability to work independently and collaboratively with others
- Excellent Computer skills in Microsoft Office (Word and Excel and Outlook) are essential
- Physical ability to carry out the demands of the position
- Ability to lift weights of up to 20 lbs. on occasion
- Must be well-organized, adaptable, and professional
- Must have a strong ability to handle confidential information appropriately, be discreet, and be diplomatic
- Excellent written and oral communication skills
- Excellent interpersonal, organizational, and coordination skills
- Respect and understanding of The Salvation Army - its mission, culture, and values
