JOB TITLE: Inventory/Purchasing and Janitorial Coordinator

REPORTS TO: PM, Purchase and Maintenance Director

TYPE OF POSITION: Full Time

Primary Job Purpose:
The Procurement and Janitorial Coordinator manages and oversees the office and cleaning

supplies inventory, ensures efficient purchasing processes, and maintains strong vendor

relationships. This role coordinates janitorial operations across all gyms, ensuring cleanliness

and maintenance standards compliance while optimizing cost efficiency.

Specific Responsibilities:
Leadership:

- Foster positive relationships with vendors and suppliers, negotiating the best terms and

value.
- Collaborate with gym managers to align inventory needs and optimize stock levels.
- Execute the purchasing process, including vendor selection, purchase order generation,

and tracking of goods receipt.
- Train and mentor staff on best practices for inventory management and purchasing

processes.

Controls:

- Maintain a minimum inventory level sufficient for 15 days of operations and establish

reorder points.
- Implement and uphold internal controls for procurement to ensure compliance with

company policies.
- Conduct bi-weekly audits of inventory levels, purchase orders, and invoices to ensure

accuracy and prevent discrepancies.

Reporting:

- Present weekly inventory and purchasing reports at team meetings, detailing

outstanding orders and product usage metrics.
- Maintain documentation and communication logs for all inventory and procurement

transactions.
- Generate and present reports on procurement analytics and cost control measures to

upper management.

Janitorial Coordination:

- Organize and oversee janitorial operations in collaboration with janitorial supervisors at

each gym.
- Schedule cleaning staff shifts and ensure coverage, conducting weekly site visits to

guarantee adherence to cleanliness standards.
- Encourage staff to utilize Facility Vitals to report cleaning needs and equipment

maintenance.

Vendor Relations:

- Work with vendors to procure cleaning supplies, uniforms, and branded merchandise

for Gold's Gym Calgary, including design considerations.
- Collaborate with Gym owners on the design of uniforms and clothing for sale, ensuring

alignment with Gold's Gym branding.
- Continuously evaluate vendor performance and negotiate contracts to enhance service

delivery and cost efficiency.

**Requirements**:
Skills Required - Technical:

- Advanced proficiency in MS Office (Excel, Word, others).
- Minimum of three years of experience in inventory control and procurement.
- Strong knowledge of procurement processes and best practices.

Skills Required - Non-Technical:

- Exceptional attention to detail and accuracy.
- Strong relationship-building skills with colleagues, suppliers, and business partners.
- Effective negotiation and conflict resolution abilities.
- Analytical thinking, planning, prioritization, and organizational skills.
- Excellent verbal and written communication skills in English.
- High ethical standards for handling confidential information and financial transactions.
- Ability to identify challenges and propose practical solutions.

Education and Experience Required:

- Supply Chain Management or a related field is preferred.
- Minimum of three years of experience in inventory control and purchasing, ideally

within a gym or fitness industry context

**Job Types**: Full-time, Permanent

Pay: $23.00-$26.00 per hour

Expected hours: 40 per week
