**Property Maintenance/Tenant Relations**:

- Maintain open office for tenants, respond to requests, issues and problems raised by staff and caretakers.
- Ascertain the key issues of repair requests; determine the scope of work required to remediate.
- Create work-orders and prioritize based upon workloads.
- Conduct suite inspections pre-move-out and at the conclusion of all maintenance staff repairs and renovations or capital replacements performed by contractors.
- Monitor and provide for routine and non-routine service support to facility systems including: mechanical, plumbing, electrical,
- HVAC, elevators, fire safety, garbage removal, grounds maintenance.
- Ensure that trouble calls received from tenants and staff are acted upon.Coordinates activities with facility service sub-contractors and supply vendors including point of contact, quotations, service delivery, snow removal, and other misc. items.
- Research contractors and seek quotations for all maintenance work and capital replacements for suites, buildings and property.
- Meet with contractors to discuss the scope of work; negotiate the work, services or supplies as necessary.
- Inspect the work of contractors re: facility services and capital replacements - assess standards of workmanship and materials/supplies.
- Liaise with regulatory organizations on issues such as permits, purchasing, fire safety and operational codes (eg. Elevators, mechanical, electrical and building construction).

**Compliance and Administration**
- Ensure compliance of responsibilities and enforcement of landlord/tenant rights under the Residential Tenancy Act and BC Housing.
- Prepare notices for tenants regarding interruptions of service or suite entry for repairs.
- Maintain suite files, facility systems files, common area files, and purchase order files.
- Track all maintenance performed by staff and contractors for all housing properties and buildings via Maintenance Connection database software.
- Ensures buildings, inventory, warranties, contractors, maintenance records and suite assets are captured in Maintenance Connection database.
- Track all annual inspection reports performed by caretakers - create work-orders, verify assets per suite, note capital upgrade requests for future consideration and upload images.
- Provide a communications point for maintenance sub-contractors and supply vendors for quotations, delivery sign-offs, all annual service agreements, and product or work inspection.
- Maintain purchase order files.
- Ensure that all contractors comply with work safe and business regulations.
- Ongoing set-up of modules in Maintenance Connection to maximize its capacity for functionality; customize forms, reports.

**Supervision**
- Assign work orders and prioritize the work of maintenance staff - determine deadlines when necessary.
- Provide ongoing support, recognition, and direction to maintenance staff and one volunteer to enable them to achieve a high standard of performance.
- Monitors performance of staff and contractors; discuss performance concerns and assists in developing action plans when required.
- Monitors projects and workloads on an ongoing basis and ensures maintenance projects are coordinated.
- Determine need, seek authorization and assign additional work to part-time staff.
