**WHO ARE WE LOOKING FOR?**

ACML is actively seeking a **Property Administrator** located in **Brampton, ON** whose main responsibilities will include, but are not limited to, the following:
Tenant Lease Administration:

- Prepare and circulate correspondences to tenants
- Analyze lease sections to create lease abstracts outlining tenant responsibilities and charges.
- Set up tenants in the system and provide lease abstracts to Senior Property Administrator/Manager for review and activation.
- Create and distribute Rental Charge Invoices and associated letters.
- Communicate with Property Accountants regarding tenant account adjustments.
- Maintain tenant and contractors insurance records in adherence to lease requirements.
- Continuously update and manage security deposit reports.
- Maintain and update tenant information, including phone numbers, contact names, and emergency contact information.
- Prepare Tenant Acknowledgements and Vacancy Possession Letters.

Property and General Administration:

- Address tenant needs as stipulated in lease agreements. This includes maintaining regular communication with tenants, addressing inquiries and concerns, and ensuring prompt and professional resolution of tenant requests in accordance with established timelines.
- Ensure excellent tenant relations and strong customer service
- Ensure property insurance compliance; collaborate with insurance brokers for renewals and updates.
- Is recognized as a technical expert in the delivery of administrative support (including computer software/hardware); maintains equipment list including radios, cell phones, etc.; liaises with client and staff re: repairs, etc.
- Maintains internal/external phone lists; liaises with client to ensure lists up to date.
- Answers phones; records messages; coordinates office courier; orders office supplies, sets up appointments; arranges meetings, etc.
- Reviews purchase histories and submits detailed reports, as required.
- Monitor, dispatch, and follow up on tenant requests; generate monthly chargeback reports.
- Supervise and coordinate various contracts, including conducting periodic reviews and maintaining an updated contract log.
- Facilitate team coordination and contribute to team objectives.
- Demonstrate commitment to shared projects and deadlines.
- Encourage collaborative decision-making and conflict resolution.
- Uphold values of honesty, integrity, respect, and trust.
- Other duties as assigned

**WHAT WILL YOU BRING?**
- 2 - 3 year’s of property management experience with administration and financial management responsibilities
- Post-secondary education in facilities/property management preferred (or equivalent combination of education and experience).
- Knowledge of facility operations/maintenance an asset; general knowledge of building systems and related codes/legislation an asset.
- General knowledge of health & safety legislation, codes, etc. an asset.
- Proficient computer skills (such as Microsoft Office suite, ERP systems, etc.).
- Understanding of accounting (e.g. revenue/expenses, capital), purchase orders and project reporting (e.g. cost/revenue analysis).
- Proven strengths in:

- Communication (written and verbal) - clear; concise; tactful; listens actively and objectively;
- open/consistent communication
- Teamwork - works collaboratively with others to achieve common goals while adding value to team
