**Office Coordinator - Logix ITS**

**Key Responsibilities**:
- Executive and Manager Support:
- Coordinate travel arrangements for the executive team and assist in expense report submission.
- Assist executive team and managers with setting up team meetings and off/on-site events.
- Assist in completing diverse duties and occasional assignments as needed.
- Office Administration:
- Greet guests at the front door in a welcoming professional manner.
- Answer general phone line.
- Assist in organization, cleanliness & safety of office space, and coordinate moves, purchases and deliveries of office supplies and equipment.
- Manage office supplies & snacks.
- Coordinate office lunches or events as needed.
- Organize office operations and procedures such as information management, filing systems, requisition of supplies, and other clerical services.
- Finance document scanning.
- Postal duties, including handling in-office incoming and outgoing mail/packages, and mailing of product warranty documentation.
- Data entry, database clean-up & special projects for Human Resources and/or Finance.
- Oversee the handling and replenishment of petty cash in accordance with company procedures.
- Run general office errands as needed.
- Onboarding:
- Assist with onboarding by preparing welcome packages, setting up workstations, and other onboarding tasks as needed.
- Health & Safety Committee:
- Manage the Health & Safety Committee: coordinate inspections, training, update policies/procedures, report incidents, promote workplace safety and compliance, and other tasks as needed.
- Coordinate and run regular health and safety meetings.
- Manage fire/escape planning and drills.
- Newsletter:
- Coordinate all elements of the company newsletter, including meetings, content coordination, and editing.
**Qualifications**:
- 1+ years of admin experience (preferred)
- Bilingual in French and English, both written and spoken
- English communication skills are essential for this role as it involves frequent written and verbal interactions with the executive team & employees in both Canada & the United States, and as well as preparing documentation and reports in English.

- Soutien aux Cadres et aux Gestionnaires:
- Coordonner les arrangements de voyage de l’équipe de direction et aider à la soumission des rapports de dépenses.
- Aider les cadres et les gestionnaires à organiser des réunions d’équipe et des événements internes/externes.
- Appuyer diverses tâches et mandats ponctuels selon les besoins.
- Administration du Bureau:
- Accueillir les visiteurs à la porte d’entrée de manière professionnelle et chaleureuse.
- Répondre à la ligne téléphonique principale.
- Veiller à l’organisation, à la propreté et à la sécurité de l’espace de bureau, et coordonner les déménagements, achats et livraisons de fourn
