**Job Title: Part-Time Administration Assistant**
**Position Type: Part-Time**
**Report to: Office Manager**
**Job Summary: As a Part-Time Administration Assistant, you will play a crucial role in providing administrative and clerical support to our office. Your responsibilities will include general office tasks, invoicing, answering phones, and delivering excellent customer service to our clients.**
**Key Responsibilities**:
**1.** **General Clerical Support**:
**-**Assist with data entry, filing, and document management.*
**-**Scan purchase orders and work orders from pervious day.*
**-**Maintain and organize office supplies and equipment.*
**-**Update and maintain outsource log for Atlantic Heat Treating.*
**2.** **Invoicing**:
**-**Match up packing slips with purchase orders from previous day in shipping and receiving.*
**-**Prepare accurate order confirmations for review and issue invoices once approved.*
**-**Follow up on COD orders and facilitate payment prior to being shipped or picked up.*
**3.** **Answering Phones**:
**-**Professionally handle incoming calls and direct them to the appropriate personnel.*
**-**Provide information, take messages, and assist with general inquiries.*
**4.** **Customer Service**:
**-**Greet and assist clients and visitors in a friendly and welcoming manner.*
**-**Address client inquiries and concerns courteously and efficiently.*
**-**Maintain a positive and helpful attitude to enhance the overall client experience.*
**Qualifications**:
**-**A bachelor’s degree maybe required, and/or 3 years of experience as Administrative Assistant or in a related profession.*
**-**Previous experience in administrative or clerical roles is a plus.*
**-**Proficiency in Microsoft Office Suite (Word, Excel, Outlook).*
**-**Excellent communication and interpersonal skills.*
**-**Strong organizational skills with an attention to detail.*
**-**Ability to multitask and prioritize tasks effectively.*
**-**Professional demeanor and a customer-focused attitude.*
**Working Hours: This is a part-time casual position, with flexible working hours. The typical schedule will be 16-24 hours per week, with the potential for increased hours based on workload and performance.**
**Requirements**:
- Previous experience as a receptionist or administrative assistant is preferred, especially in a medical or dental office environment.
- Proficiency in using phone systems and computer software for data entry and record management.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing.
- Excellent organizational skills with attention to detail to manage multiple tasks efficiently.
- Ability to work independently while being a supportive team player.
- Familiarity with clerical duties including filing, typing, and general office procedures.
- A positive attitude and a professional demeanor are essential for this role.
