This position is part-time 0.60FTE (21 hours per week). The 0.60FTE prorated compensation is $2,335.73 Monthly (1.0FTE is $4,449.00).

Job Description Summary
To assist in the coordination and development of the educational programs of the Division of Hematology/Oncology/BMT. This position provides administrative support and organization to the subspecialty fellowship program, the residency rotation program, the medical school student program, the continued medical education program and the outreach education program.
Organizational Status
This position reports to both the Director of the Fellowship Program and the Head of the Division of Hematology/Oncology/BMT. The position works closely with the post-graduate deans office as well as the departmental residency and undergraduate programs. Collaborates and interacts with other members of the pediatric education team, divisional secretaries and representatives from within the hospital and university communities. This position works closely with fellows, residents, medical students and other administrative professionals within a teaching hospital setting.
Work Performed
- Follows through with documentation to Department of Pediatrics, the Postgraduate Medical Education Dean s office and hospital credentials office
- Responds to oral and written enquiries regarding the fellowship program.
- Maintains the fellows rotation schedule
- Prepares and distributes Web evaluations for each fellow s rotation
- Updates, maintains and distributes learning objectives for fellows and residents
- Assists Education Director to liaise with Chair of the Subspecialty Program Committee of the Department of Pediatrics
- Organizes and attends tri-monthly Subspecialty Residency Training Committee meetings. Records minutes. Follows up issues raised
- Organizes and attends tri-monthly Scholarly Overview Committee meetings. Records minutes. Follows up issues raised
- Assists fellows with research projects and presentations and preparing for examinations.
- Coordinates education funds through hospital accounting, arrange for payment of invoices, deposits and travel reimbursements. Reconciles ledger each month.
- Coordinates weekly fellows tutorial
- Uses considerable knowledge, discretion, judgment in handling fellows and trainees concerns and requests
- Assists with the development of innovative and creative ways to deliver high quality physician education.
- Maintains records for the Continued Medical Education requirement of the College of Physicians and Surgeons of BC. Provides annual certificates.
- Updates the Director of the Fellowship program and the Divisional Head of fellows and residents concerns and feedback, and assists in providing creative strategies to issues raised
- Develops and maintains a database of alumni of the divisional fellowship program
- Provides other administrative support to the divisional education program

Consequence of Error/Judgement
This position is expected to work independently, with mínimal supervision. Applies knowledge of procedures, guidelines and regulations and makes decisions within established protocols. Uses sound judgment, tact, discretion and sensitivity in problem solving. Significant problems are referred to the Director of the fellowship program. Participates actively in dialogue and development of creative team-based solutions.
Failure to follow strict timelines and sequential administrative processes will result in physicians not having the appropriate licensure and documentation to commence work in the Division of Hematology/Oncology/BMT, resulting in shortages of physicians to meet patient care needs. Errors in administrative duties will have a negative financial impact on the division. Errors in their appointment documentation would have an adverse effect on ward and clinic staffing levels.
