Position Title: Administrative Associate

The Safety Codes Council (Council) is an independent, self-funded regulatory organization mandated to oversee the system and technical disciplines through several key legislated functions and client-focused services. We provide leadership by guiding, educating, supporting, and collaborating with all partners in Alberta’s safety codes system.

You've got a solid set of communication skills, easily crafting clear and concise documents like reports and meeting minutes. When it comes to dealing with people, whether they're part of your team or external partners, you're a pro at handling even the most challenging clients with finesse. Your acute listening skills ensure you catch every detail. As for organization, you're a pro at multitasking, hitting deadlines, and maintaining precision whether typing or inputting data. Learning is your passion, constantly seeking growth within the Council's framework, and when it comes to tech, you navigate digital tools effortlessly. Taking the lead comes naturally to you, armed with strong critical thinking skills, always ready to tackle challenges head-on.
**JOB DETAILS**
Client Support:
- Ensure clear and effective communication with customers and partners, consulting with the ASCA team as needed.
Permit Management:
- Process historical and agency permit search requests.
- Assist clients and stakeholders with navigating eSITE and eBIZ functionality and troubleshooting system bugs.
Reporting and Coordination:
- Generate reports, including compliance monitoring and inspection reporting.
- Collaborate with unaccredited municipalities and contracted agencies to prepare system-related reports.
- Coordinate and schedule contracted agency meetings.
Document Management and Analysis:
- Maintain information in SharePoint files and the Council’s information management systems.
- Organize divisional files, reports, and permit records (both paper and electronic).
- Draft professional-quality correspondence and documents.
- Analyze operational data collected by the Council and its departments, including data from e-Site, eBIZ, and other available sources.
**THE REQUIREMENTS**
- Post-secondary education in office or business administration, or related field.
- Two (2) years’ experience in a professional office environment providing client service.
- Experience using office software (e.g., Adobe, Outlook, Word, Excel, PowerPoint, SharePoint, Teams, Zoom).
- Experience in statistical research, data analysis, and the reporting of data, considered an asset.
**WHAT WE OFFER**
- The starting base salary for this position is between $52,000 and $64,000, depending on education and experience.

Notes
- Hybrid work with two anchor office days: Office location is 10405 Jasper Avenue, Edmonton, Alberta.
- Hours of work: 36.25 hours per week (Monday - Friday).

About the Safety Codes Council
The (Council) is an independent regulatory body established in 1993 under the Act. The Council provides oversight of Alberta’s safety codes system through a number of key mandated functions including:
- Accrediting and monitoring the compliance of municipalities, agencies, corporations, and regional service commissions in administering the Act within specified jurisdictions.
- For the 300,000 Albertans who live in unaccredited areas of the province, the Alberta Safety Codes Authority (ASCA) conducts permitting, inspections and oversees spill and incident reporting requirements for storage tank systems across the province.
- Training and certifying safety codes officers to inspect the construction, installation and maintenance of Alberta’s structures and systems and administering Alberta’s Master Electrician program.
