Reporting to the Director of Sales, the Rentals & Leads Coordinator will oversee and optimize our lead generation and conversion process. The coordinator will be responsible for tracking, distributing, and following up on all company leads to ensure timely responses and maximize sales opportunities. The coordinator will collaborate closely with the sales and marketing teams to improve lead quality, monitor lead performance, and enhance customer engagement. Additionally, the coordinator will work closely with the Rentals department to ensure optimal utilization of the rental fleet and assist the Sales Representatives with machine delivery, rental contracts, invoices, purchase orders, unit availability, and moving units between branches.
**Key Responsibilities**:
Company-wide leads management function:
- Qualify leads based on defined criteria and distribute them to the appropriate sales representatives.
- Ensure that all leads are promptly entered into the CRM system and assigned for follow-up.
- Monitor the status of the leads and ensure the sales team follows up in a timely manner.
- Track and report on the progress of leads, conversion rates, and sales pipeline activities.
- Identify and escalate any issues related to lead follow-up or customer responses.
- Serve as the main point of contact for lead-related inquiries from the sales and marketing teams.
- Coordinate with sales representatives to ensure the alignment of procedures for handling leads.
- Share insights on lead performance with management/marketing and recommended action plans.
- Act as the primary agent for customer ‘Live Chat’.
Rentals Management functions:
- Receive calls from rental customers and representatives to check unit availability.
- Assist customers and representatives in coordinating, delivering, and maintaining rental units.
- Approve and process purchase orders for various rental representatives.
- Coordinate the movement of rental equipment between branches and customers.
- Collaborate with other rental coordinators and representatives to ensure proper processes are followed in the rental operations department.
**Training, Education and Experience**:
- Bachelor’s degree in business, Marketing, or a related field is considered an asset.
- 2+ years of experience in lead management, sales support, or a related role.
- Strong understanding of CRM systems.
- Excellent organizational and time management skills.
- Strong analytical skills with the ability to interpret data and generate actionable insights.
- Exceptional customer service skills.
- Effective communication skills and ability to work across teams.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
