Reporting to the Director - Port Infrastructures, the incumbent provides administrative support to the Director and the departmental staff and is mainly involved in the bidding process. The assistant ensures the proper follow-up of files and is involved in the preparation of various departmental projects with the team in place.
Prepares the bid documents as well as consultant and entrepreneur contracts using templates and models;
Makes the final correction to documents, after the project managers adjustments;
Validates internally (SST and environment) if specific clauses need to be added;
Ensures following up with the legal compliance department for various contracts and bids;
Follow up with potential bidders;
Helps making project amendments and addenda;
Classifies the various documents created during project manager activities;
Is involved in the administrative follow-up of projects;
Perform various follow-ups with project managers;
Writes, edits and formats the required project progress and follow-up documents;
Follows up on action points determined during team meetings when needed;
Take minutes of department meetings;
Support and participate in the development of procedures and various work tools
of the department;
Brings support to other team members and to his/her immediate supervisor;
Greets visitors and provides them with general information;
CANDIDATE PROFILE
**Requirements**:
College degree in office administration (or equivalent);
At least 4 years of experience in similar functions (including the preparation of bids);
Mastery of the Office Suite (Word, Excel, Visio, PowerPoint and MS Project) and Adobe PDF;
Good drafting skills and excellent mastery of French (written and spoken);
Good management of priorities and organizational skills;
Ability to concurrently run several projects;
Ability to work in a team;
High level of tact and discretion;
Thoroughness and attention to detail.
Assets:
Mastery of the English language;
Knowledge of the marine environment.
A combination of education and/or relevant experience could be deemed equivalent.
