**Job Overview**:
The HSE Administrator plays a critical role in ensuring the smooth operation of the company's Health, Safety, and Environmental (HSE) programs. This includes handling administrative duties related to compliance, recording minutes, maintain log's and matrixes, downloading and scanning files, creating and distributing reports.

**Key Responsibilities**:

- Download and file submitted safety documents from Salus Pro.
- Monitor daily submission activity to ensure compliance with safety reporting.
- Maintain daily logs to track safety documentation status.
- Identify and follow up with foremen not fully utilizing the Salus Pro app.
- Ensure safety documentation is organized and accessible on the server.
- Download and file submitted safety documents from Salus Pro.
- **Record and maintain minutes for**:

- HSE Meetings
- Joint Health and Safety Committee (JHSC) Meetings

**Generate and distribute**:

- Weekly Incident Report (every Monday)
- Weekly Salus Pro Compliance Report (every Monday)
- Weekly Compliance Report to Foremen

**Maintain**:

- Safety Learning Opportunity Log and related reports
- Tracking and closure of corrective actions

**Document Management**:

- Scan completed safety documents and forms
- Log and upload site initials to Salus
- Send out Jobsite Inspections as needed

**Monthly Tasks**
- Complete Monthly Compliance Report
- Assist with safety storage inventory and maintain form stock

**Ongoing / As Needed**
- Create new-job signage packages for HSE Advisors
- Assist in implementing new systems within Salus Pro
- File forms for HSE Manager or team members when required
- Scan, file, and organize hardcopies of completed forms on the server
- Support the HSE team with additional administrative or compliance-related tasks as required
- Audit and update Safety Data Sheets (SDS) annually

**Experience**:

- 1-2 years of experience in an administrative role.

**Skills**:

- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Experience with HSE management software and systems is an asset

- Strong problem-solving abilities and the capacity to work independently and as part of a team.
