**Responsibilities**:
Reporting to the Superintendent of Education, the Administrative Assistant will:
Provide professional administrative, secretarial and clerical support to the Superintendent of Education and Catholic Learning Services Team, working collaboratively with the Executive Assistant and Administrative Assistants, as part of the team.
Handle complaints, problem solve, provide solutions and walk-through steps of procedures within responsibility and relay inquiries to appropriate administrative personnel.
Review all documents, reports, and correspondence for format, content, grammar, and spelling.
Generate and prepare various reports, materials and documentation including meeting minutes, agenda, draft reports and communications, presentations, etc.
Support the approval, reproduction and distribution of various written/digital materials.
Manages purchasing, expense reporting, accounting and budget tracking for the Superintendent and departments, including SFE entries, Ministry reporting, projections, purchasing card, etc.
Liaise with and assist school and Board staff with the organization and administration of related tasks (e.g. inventory, ordering, scheduling meetings, align work, maintain documentation, etc.).
Interact in a courteous manner with various stakeholders and support professional communication.
Manage sensitive and confidential issues and data.
Liaise with other public agencies, unions, associations, stakeholder groups, school administration, committees and the Ministry of Education.
Provide timely and professional response to parents, students, the public and others in the community.
Support planning and implementation of activities/materials for meetings, workshops, Board functions and special events/initiatives.
Other duties as assigned.
Qualifications and Skills
Completion of a two-year Community College diploma, preferably in Office Administration.
Minimum of three (3) years previous recent, related work experience.
Microsoft Office Specialist certificate preferred.
Exceptional interpersonal, oral and written communication and conflict management skills.
Demonstrated ability to develop and maintain sound working relationships with internal and external stakeholders and maintain high level of diplomacy and confidentiality in dealing with issues of sensitive or personal nature.
Experience working in a fast-paced professional office environment where time management, resourcefulness, flexibility, and the ability to set priorities and problem-solve is required.
Basic understanding of accounting terms and principles.
Strong communication, interpersonal, organizational and problem-solving skills.
Strong attention to detail.
Ability to adhere to strict timelines and multi-task in a highly dynamic environment.
Ability to maintain composure and respond with confidence and tact in stressful situations.
Ability to maintain a high level of confidentiality.
