We are looking for an Executive Assistant as a shared service among our Research & Development Directors, reporting to our Executive Assistant to Chief of AI. Executive Assistant - R&D - Assist VP of Innovation & Technology, and R&D Directors with daily administrative duties. - Manage VP and R&D Directors’ calendars and schedule meetings. - Communicate as the point of contact among R&D, executives, and other external partners. - Oversee incoming and outgoing communications in their absence and provide updates upon their return. - Draft and proofread letters, correspondence, presentations, and reports on behalf of VP and R&D Directors. - Take detailed meeting minutes for VP and R&D Directors’ meetings (in-person and/or virtual meetings). - Make VP and R&D Directors’ travel and accommodation arrangements. - Prepare detailed itineraries for VP and R&D Directors’ trips. - Receive business expense receipts from VP and R&D Directors and compile business expense reports via SAP Concur. - Make purchases on behalf of VP and R&D Directors, keep track of invoices and pass to the finance team. - Help R&D Directors to manage and keep track of R&D budgets. - Keep track of invoices and payments for patenting and trademarks. - Update the patents database. - Organize R&D team building events and knowledge sharing activities. - Maintain, organize, and file documents. - Supervise and monitor the work and tasks by the Administrative Assistant. - Manage companywide meetings (AGM, Quarterly Meetings, Travel Presentation, Co-op Presentations) and company events in collaboration with the Administrative Assistant. - Manage and support operations of downtown office. - Manage office layout planning and office transitions for the employees as necessary. - Liaise with staff and facility management vendors, including cleaning and security services. - Monitor and maintain the inventory of office and kitchen supplies. - Provide general support to visitors. - Complete other tasks and projects as assigned. **Requirements**: - At least 3 years of experience working in administrative/operational support roles in an office setting - A secondary education degree is preferred. - Highly organized and can work under mínimal supervision - Proficient in Microsoft Office Apps (Outlook, Word, Excel) - Excellent attention to detail and work ethics - Ability to work under a fast-paced environment - Enthusiastic, with a desire to learn - Excellent communication and documentation skills - Be able to work well in a team environment and individually Preferred qualifications - Technical background would be a plus.
