Wesgroup is currently seeking an energetic and experienced Office Services Manager to join our team at our beautiful office in downtown Vancouver, located right beside the Burrard sky train station.

In this exciting role, you'll be part of the heartbeat of Wesgroup, overseeing all the office administration needs for our vibrant HQ, spanning three floors in the iconic Bentall 3 Tower. As the Office Services Manager, you'll be at the centre of the action, interacting with our amazing team members, valued customers, partners, vendors, and visitors. Get ready to take on challenging projects, collaborate with various internal departments, all while creating a positive and inclusive office services culture.
**Key Job Responsibilities**:
- Oversee all office services, administration and reception needs for our head office, and provide support to our site-based teams.
- Oversee the day-to-day functioning of the head office and ensure the smooth running of all facilities and services, including management of building tenant requests.
- Manage and mentor the Office Services team which includes a Receptionist and an Office Services Administrator.
- Be an active participant on Wesgroup’s Culture Committee, which plans and organizes various events throughout the year that fosters team bonding, enhances employee wellness, encourages giving back to our communities, and improves the overall culture experience for all Wesgroup employees.
- Oversee our wellness and fitness initiatives including writing our internal wellness communications.
- Provide administrative support to other departments, including People & Culture, Safety, and/or Accounting as well as liaise with internal staff at all levels to resolve administrative inquiries.
- Manage all office services-related vendor relationships and review invoices for approval.
- Manage office moves, new hire seating assignments, and all office space inquiries.
- Manage offsite Iron Mountain storage requests.
- Troubleshoot and maintain office equipment, including placing service requests with our internal Technology team or outside vendors.
- Observe and continuously seek improvements to office organization and set up. Be part of maturing and editing office policies and procedures for improved workflow.
- Other ad hoc projects as required.
**Qualifications, Knowledge & Experience**:
- Minimum of 5 years’ relevant administrative experience (e.g., administrative assistant, receptionist, executive assistant), plus at least 3 years of office management experience within a professional, fast-paced, entrepreneurial office environment.
- Previous experience leading and managing a an office services team is required.
- Certificate or diploma in business administration, or an acceptable combination of education and progressive work experience.
- Expert organizational, time management, and prioritization skills, including the ability to multi-task with competing priorities and demands.
- Ability to work independently and manage your area of responsibility with mínimal oversight.
- Proven ability to interact with various departments and communicate effectively with all levels from Executive to Administration, office to site, and everything in between.
- Excellent understanding of business professionalism and the ability to work effectively under pressure, while maintaining attention to detail at all times.
- Exceptional interpersonal and communication skills (both verbal and written) are required.
- Positive attitude and a desire to help others is a core requirement.
- Reliable, dedicated, self-motivated and adaptable with a strong willingness to learn and continuously challenge oneself.
