Job Description Summary
The Program Coordinator, MSc OEH, coordinates the Master of Science, Occupational & Environmental Hygiene (MSc OEH) graduate program and non-credit OEH courses, while also providing administrative support to the Head of the OEH Division. This position is responsible for coordinating a variety of complex tasks relating to the graduate program and non-credit programs including recruitment, admissions, graduation, student support and retention, practicum placements, course scheduling and registration, additional programming, awards, records, alumni and community relations as well as communications with the Faculty of Graduate and Postdoctoral Studies, Extended Learning, and other UBC units. A thorough knowledge of UBC and School policies and procedures relating to graduate students is imperative. The MSc OEH Program Coordinator is a member of the SPPH Education Team and plays a crucial role in fostering a respectful, diverse, and inclusive environment for students, faculty, staff, and visitors and supports the success of all educational programs.
Organizational Status
The School of Population and Public Health (SPPH) is part of the Faculty Medicine at the Vancouver campus of the University of British Columbia. The School offers six graduate programs at the Master's and PhD levels, a Residency program, undergraduate courses, and non-credit programs. The graduate programs have a total enrollment of approximately 350 students. The MSc OEH program is a two-year graduate program that includes both thesis and practicum/project options, with an enrollment of 30-35 students. This program is offered by the SPPH OEH Division. Additionally, the OEH Division is actively developing and launching non-credit programs, aiming to establish a portfolio of several such programs over the next three years.
Under the supervision of the Professional Programs Manager, the Program Coordinator, MSc OEH, works closely with and takes direction from the MSc OEH Program Director. Additionally, they will work with the MSc OEH Practicum Lead(s); the Professional Development Lead; the MSc OEH Division Head, the OEH Lab Manager, and the SPPH Senior Education Manager. This position will also have extensive contact with prospective and current students and partner organizations, as well as with the Faculty of Graduate and Post-Doctoral Studies.
Work Performed
General MSc OEH Program Duties
Responsible for the coordination of the MSc OEH program.
Coordinates work processes, establishes work schedules and priorities, and resolves routine and complex issues.
Tracks and assesses academic progress of graduate students, including MSc capstone presentations, annual reviews, and final thesis submission.
Resolves complex problems related to graduate students, escalating issues to the Professional Programs Manager and/or the Program Director and/or appropriate UBC resources (e.g., Faculty of Graduate and Post-Doctoral Studies).
Writes complex correspondence and reports, prepares student files, coordinates storage, retrieval, and destruction of archival materials.
Develops and updates promotional material for the program.
Attends career fairs or other promotional events as requested by the Program Director and/or Professional Programs Manager.
Facilitates student requests to the Faculty of Graduate and Post-Graduate Studies.
Coordinates MSc OEH course scheduling including course times, locations, and details by coordinating with instructors and the SPPH Education Team.
Coordinates end-of-program processes.
Provides support to faculty who need assistance on student management software (e.g., Workday).
Coordinates and registers MSc OEH students in courses, including Directed Studies course.
Maintains student records, alumni database, and mailing lists.
Creates and maintains a student program orientation manual.
Maintains MSc OEH Program Canvas Site, Canvas sites for project/practicum students (SPPH 598) and thesis students (SPPH 599).
**Organizes educational activities**: information sessions, orientation sessions, professional development sessions, practicum sessions, and other activities.
Organizes semi-annual student feedback meetings.
