Since the spring of 2023, PBC Solutions administers and leads the transformation and digitization of Health Insurance BC Services (HIBC) on behalf of the BC Ministry of Health. HIBC Services administers medically-necessary insured doctor and hospital services through the Medical Services Plan (MSP) and drug coverage through the PharmaCare and Fair PharmaCare programs. In the future, the business will expand to additional public and private client work.
**Position Summary**
The Document Management Clerk handles all the incoming mail by opening, prepping, sorting, imaging, and registering documents and forms. There are also some filing and record maintenance duties, as well as reception. This position can be assigned an internal mail delivery route and at least one clerk is assigned a daily, external delivery route.
This position is designated as a Grid level 9, with a range of $27.08 - $30.74 per hour
**Primary Duties and Tasks**
- Prepare and image incoming documents to meet our SLO which requires all opened documents to be registered within three business days, and to ensure that HIBC staff have timely access to their work.
- Perform general reception duties to ensure that building access is secure, and visitors are assisted.
- Maintain and manage operational records to ensure Retention Schedules are met and stakeholders have appropriate access, when required.
- Understand and comply with PBCS applicable legislation, client policies and work procedures accurately 98% of the time to provide excellent customer service.
- Adhere to your work commitment and daily schedule 95% of the time so that PBCS can meet its business goals efficiently and reliably.
- Manage your interactions with callers, clients, and colleagues respectfully, collaboratively, and professionally to contribute to a harmonious, productive work environment.
- Peer-to-peer mentoring including ad-hoc training of minor tasks
**Education and Experience**
- Proficiency in basic computer skills and ability to operate office equipment, including high volume inserting and sealing machines with high noise decibels
- Proficient understanding of the Microsoft Office Suite including Excel and Word
- Required ability to be able to lift, move, bend, and stoop up to 50lbs
- Preferred 1 or more years in a document management role.
- Preferred 1 year of experience working in an environment providing customer service, practicing protection of privacy and information, and the ability to communicate in a professional manner orally and in writing.
