Full Job Description
Located in Toronto, Fast Action Finance is a full-service IT solutions provider with 19 years of experience serving clients in a wide array of industries. Currently with 100+ clients and a staff of approximately 18 employees,Fast Action Finance is looking for a high-energy, hands-on Administrative Assistant to join their growing team.
This new position will work closely with the owner and team to maintain the overall flow of workplace operations while being the central point of contact for clients and employees alike.
**Responsibilities**:
- Greet and welcome visitors as soon as they arrive at the office
- Direct visitors to the appropriate person/office
- Screen, answer, assess and forward incoming phone calls
- Assist with QuickBooks entries
- Conduct client check-in calls to determine if they need anything and to follow up on quotes
- Provide timely and consistent front line customer service to clients, suppliers and management team
- Assist the Project Manager with daily projects that includes reporting, invoicing and auditing
- Ensure the office area is tidy and presentable, with all necessary supplies
- Receive, sort, and distribute daily mail/deliveries
- Order front office supplies and keep an inventory of stock
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
**Skills & Experience**:
- Proven work experience, or similar role
- Proficiency in Microsoft Office Suite
- Proficiency in QuickBooks
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise; self starter
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- A high school degree: additional certification in Office Management is a plus
- Experience with IT Glue, Datto RMM, ConnectWise would be an asset
- High degree of self-accountability
- Tactful and diplomatic with sound judgement and discretion
- Efficient, demonstrates a positive attitude and grace under pressure
- Proactive and confident with a polished and professional style
- Thrives in a fast-paced environment with competing priorities

**Salary**: $15.00-$30.07 per hour
