**About Us**
Rhino Truck Lube Centre is proud to be Dartmouth’s first drive-through, no-appointment-needed, warranty-approved service centre, specializing in the commercial and heavy-duty vehicle sector. We’re looking for an experienced **Administrative Support Clerk** to provide essential operational support for our Operations Team.
**Position Overview**
As an Administrative Support Clerk, you will be the backbone of our operations. You will assist with sourcing parts, coordinating service appointments, maintaining inventory, and ensuring exceptional communication between customers, technicians, and management. This is a dynamic, fast-paced role that requires organization, multitasking, and excellent customer service skills.
**Key Responsibilities**
- Assist technicians by ordering and distributing parts needed for repairs.
- Source parts from various suppliers, ensuring timely procurement and delivery.
- Maintain accurate inventory records; organize parts room, manage merchandise flow and weekly orders, complete and submit month-end inventory to the Director of Operations for review
- Prepare quotes and estimates in coordination with the service supervisor.
- Schedule service appointments and manage shop floor workflow.
- Organize and maintain both physical and digital filing systems, ensuring all documents are accurately labeled and easily retrievable
- Support Finance and ensure Daily Balancing, Daily Deposits, and P.O. Tracker are completed accurately and in a timely manner.
- Follow up with customers regarding vehicle repair status and approval for work.
- Ensure a tidy, well-organized, and professional appearance in workspaces as well as customer-facing areas.
- Follow all company procedures and safety regulations; keep H&S boards updated and ensure monthly safety checklists are completed and uploaded to Teams.
- Support a positive, inclusive, and team-oriented work environment.
- Participate in ongoing training and development opportunities.
- Perform additional administrative and clerical duties as assigned.
**Qualifications**
- 1+ year experience in Parts, Service, or Administrative roles (Heavy Duty/Commercial sector preferred).
- Strong working knowledge of truck and transport parts and/or service coordination.
- Effective time management, organizational, and multitasking skills.
- Proficient with computers and open to learning new software systems.
- Excellent written and verbal communication skills.
- Customer-focused with a positive, professional attitude.
- Experience with quotes, estimates, or service documentation is an asset.
- Ability to work on-site and wear Personal Protective Equipment (PPE) as required.
- Valid driver’s license
**Work Conditions**
- Interaction with customers, technicians, and management.
- Standing/walking for extended periods.
- Indoor office and shop floor environment.
- PPE must be worn when entering shop areas.
- Lifting, moving, or manipulating objects up to 50 lbs

**Job Types**: Full-time, Permanent
Pay: $21.00-$24.00 per hour
Expected hours: 35 - 40 per week
