Make an impact with our administrative team as an **Executive Assistant** in our Boucherville office.
**What you will do**:
**CEO and Executive Leadership Team Support**:
- Coordinate schedules and venues for off-site Executive and Senior Leadership Team meetings.
- Book all travel logistics and generate efficiency and savings in the travel booking process for the Executive Team, and Senior Leaders as requested.
- Process all expense reports for the corporate credit card in a timely manner, ensuring all necessary documentation is provided.
- Prepare presentations on behalf of the Executive Leadership Team.
- Coordinate staff Christmas gifts and employee appreciation events.
- Participate in the annual budget process.
**Board of Directors Support**:
- Maintain all records for the Corporate Secretary of the Board.
- Alongside the Corporate Secretary of the Board, ensures all activities of the company are undertaken within the bylaws and policies of the company, and recommend changes to policies and bylaws as required to support the company and the Board in achieving its corporate strategy.
- Attend all Board and Committee meetings; ensure timely and accurate preparation of notices, agendas, and minutes of Board/Committee meetings.
- Responsible for electronic file maintenance and archival of all Board & Committee documentation.
- Coordinate and manage the Annual Report project and various other communication tools.
- Coordinate and manage the planning of the Annual General Meeting.
- Process all expense reports for Directors of the Board; coordinate travel as required.
**Boucherville Building Management**:
- Create and maintain annual budget for building maintenance.
- Coordinate and manage building maintenance
- Act as primary contact with building tenants.
- Act as back-up to Administrative Assistant - Retail.
**What you offer**:
- Bachelor’s Degree, Diploma or equivalent in Administration
- Minimum five (5) years’ experience in an Executive Assistant role, supporting senior level executives (C-Suite).
- Bilingualism is required (English/French).
- Advanced proficiency in Microsoft Office 365.
- Highly organized, flexible, proactive and enjoys the administrative challenges of supporting the CEO, Board, and ELT.
- Maintains customer (internal and external) confidence and protects operations by keeping information confidential.
- Independent thinker with overall knowledge of ELT priorities to enable reasonable decision-making skills on their behalf when appropriate or necessary (due to travel, etc.).
- Excellent listening and communication skills.
- High competence level in typing and transcribing skills.
- Communicate written work with the utmost grammatical accuracy.
- Ability to travel within Canada to attend meeting as required (approx.6 times per year).
