**Job Summary**:
The Philanthropy Services Coordinator works closely with the Philanthropy Services Program to manage and process incoming donations in compliance with CRA regulations and to ensure database integrity is maintained. The Coordinator, as a key administrator, will work to ensure database optimization, including but not limited to, donor services administrative tasks and fund development initiatives. The Coordinator will be responsible for a high level of donor service and stewardship in response to incoming donor inquiries.

**Your Role**:
**Archway’s **Philanthropy Services Coordinator **with the Philanthropy Services contributes by**:

- Managing donor databases, documenting and tracking all donations in compliance with Canada Revenue Agency (CRA) regulations, and generating relevant reports for all donations.
- Processing multiple donation types and methods: cheques and cash; credit/debit from various locations; EFT including Canada Helps and PayPal; payroll donations / pledges; preauthorized credit cards and CAFT; and gift in kind.
- Responding to donor requests and correspondence in relation to previous donations and setting up pre-authorized gifts and donations, etc.
- Providing support to the team using the Blackbaud software system. Actively participating in initiatives to optimize system efficiency and reporting capabilities for donor/customer and financial analytics.
- Adhering to established operational standards for document retention and storage to assist with compliance audits.
- Ensuring outcome-based annual reports and other reports as requested by the agency and funders are developed, written, and submitted in a timely manner.

**Getting an Interview-you will be considered if you have**:

- Completion of grade 12 or equivalent.
- Post Secondary courses in applied business technology and/or accounting an asset.
- Minimum 2 years of experience in providing administrative support is required, with experience in the non-profit sector and donor relations preferred
- Experience working with databases and fluency in handling customer and financial records is required.
- Experience working with Blackbaud or comparable donor database/fundraising software is preferred.

- Strong verbal, written, and active listening communication skills; able to communicate clearly and respectfully with people from diverse backgrounds, cultures, and varying levels of English.
- Strong skills with Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint to create reports, presentations, and communication with staff and colleagues.
- Knowledge of CRA receipting rules.
- Excellent attention to detail is essential for this position.
- Skilled at calling and speaking with donors and community and presenting information to a variety of audiences in a clear, concise, and effective way.
- Able to effectively interact in a diplomatic, collaborative, professional and results-oriented manner.
- Skilled in efficiently prioritizing workload to respond to changing conditions, deadlines, and priorities, while maintaining discretion and working with a high level of privacy and confidentiality.
- Comfort and ability to handle and count cash.
- This position has a high degree of distractions and competing priorities; interruptions are common, requiring the ability to effectively switch tasks within a busy environment.
- This position involves extended periods of sitting and screen/keyboard use, requires accurate data entry over prolonged periods, includes repetitive tasks where attention to detail is critical, and operates on-site with some potential for virtual work.
