**MCON Products** is local, and family owned, industrial manufacturing facility that was established in 1989 in **Ottawa, Ontario** to provide the fast-growing market with high quality Precast Concrete products on time and at a competitive price. Our precast products include circular and elliptical concrete pipes, circular and box maintenance holes, catch basin, box culverts, oil grit separators and gravity retaining wall systems.
Overview:
We are looking for a _**Manager, Business Administration**_ to join our team. The Manager, Business Administration is responsible for overseeing a team that provides the administrative and operational support functions that ensure the smooth execution of plant and business activities. This includes managing office administration, production support services, procurement, dispatching, customer service, collections, inventory tracking and facilities coordination.
**Responsibilities**:
- Administration & Staff Supervision
- Supervise administrative support staff including office clerks, dispatchers, and receptionists.
- Develop work plans, assign tasks, and ensure high standards of administrative accuracy and efficiency.
- Support HR in onboarding, timekeeping, and maintaining training and safety records.
- Customer Service & Order Coordination
- Manage the order entry process and function as a liaison between customers, production, and shipping departments.
- Ensure timely and accurate communication with customers regarding lead times, deliveries, and inquiries.
- AP/AR
- Invoicing, accounts reconciliation
- Manage the collection of outstanding debts/payments
- Work with customers to avoid debt defaults and create payment plans.
- Oversee account payable functions
- Manufacturing & Operational Support
- Collaborate with production, logistics and maintenance teams to align administrative support with operational goals.
- Oversee administrative processes related to work orders, production scheduling, and inventory control documentation.
- Purchasing & Procurement
- Oversee the purchasing of indirect materials, supplies, tools, and services required for plant operations.
- Budget & Cost Control
- Monitor administrative and overhead budgets.
- Track and report on KPIs such as administrative costs per unit, purchasing efficiency, and customer response times.
- Dispatch & Logistics Support
- Oversee daily dispatching operations for incoming and outgoing materials.
- Coordinate with shipping and receiving for delivery schedules and documentation.
- Process Improvement
- Identify and implement improvements in administrative workflows using lean principles or ERP-/MRP/CRM systems.
- Support digital transformation projects and system integrations (e.g., Microsoft Dynamics).
**Qualifications**:
- Bachelor’s in Business Administration, Industrial Management, Supply Chain, or related field
- Minimum 5 years of administrative/operations experience in a manufacturing setting
- Minimum 5 years in a supervisory or management role
- Proficiency in Microsoft Office Suite and ERP systems (Microsoft Dynamics)
- Strong understanding of manufacturing workflows, supply chain principles, and safety standards
- Exceptional organizational, negotiation/conflict resolution, communication, and leadership skills
**Specific Experience/Assets**:
- Planning and establishing objectives, forecast resource needs, and coordinate cross-departmental plans (e.g., HR, logistics).
- Organizing/structuring teams (dispatch, customer service, AR/AP, purchasing), assigning responsibilities and managing vendor contracts.
- Leading/supervising support staff, fostering teamwork, promoting safety and quality, and driving process improvements.
- Controlling/tracking/setting KPIs (e.g., cost, turnaround times), ensure legal and policy compliance, review budgets, and audit records.
- Providing support to plant, corporate, and external partners; align support services for administration, production, logistics as needed.
- Familiarity with other manufacturing standards
- Knowledge of Lean, 5S, or Six Sigma methodologies
- Experience with inventory management and production scheduling systems
- Bilingual (English/French) is an asset.
**Compensation**:
- Salary $70,000-90,000 annually, commensurate with experience
- Permanent, full-time, Monday-Friday, 42.5 hours / week
- Located in Ottawa, Ontario (Onsite)
