The South Georgian Bay Ontario Health Team (SGB OHT) is searching for a professional individual to provide a wide range of administrative support. The position of Administrative Lead requires a high degree of initiative and judgement to anticipate and initiate appropriate action to support the administrative operations of the SGB OHT Operational Team, Project Manager, and executive team.

**JOB DETAILS**:
Full-time, permanent, Monday to Friday from 8:30 a.m. to 4:30 p.m. We offer a hybrid workplace model of in-office (Collingwood) and remote work to offer flexibility and support to employees.

**Salary**: $52,000 plus pension and benefits.

**JOB DESCRIPTION**:
The SGB OHT is part of the Government of Ontario’s dynamic Ontario Health Team model. We are a team of local health professionals, organizations, and community members working as one coordinated team to create a network where patients have access to the right care, from the right team, in the right care setting when they need it.

The Administrative Lead is a crucial team member of the SGB OHT who helps build the Ontario Health Team model by leading the administration and operations of the SGB OHT and acting as the executive assistant to the Project Manager. As the first point of contact, you will manage activities to ensure they are organized, prioritized, and completed efficiently and effectively as they relate to our community led strategic plan. You will be responsible for organizing meetings and events, preparing written documentation such as meeting minutes and reports, and managing the SGB OHT intranet site. You will also be involved in project development and implementation to support the SGB OHT strategic plan, along with other special projects. You are someone who is proactive, takes initiative, and cultivates strong working relationships.

**QUALIFICATIONS**:
**Education**:

- Undergraduate degree from an accredited university is required
- Master’s degree an asset, preferred
- Relevant courses in Microsoft Office

**Experience**:

- Two years’ recent experience leading administration and operations in a demanding and fast-paced office environment, ideally in an executive support and/or office administration role.
- Knowledge of medical specialties, the Ontario health system, and local medical community is an asset.

**Abilities**:

- Superior written and verbal communication skills, including editing and proofreading abilities and document composition.
- Handling multiple projects and tasks simultaneously in a highly confidential and credible manner.
- Dealing with sensitive situations professionally, with diplomacy and tact.
- Differentiating between highly confidential and public information and maintaining confidentiality.
- Maintaining composure under pressure, during stressful situations and changing priorities.
- Utilizing expert time management skills in organizing and prioritizing workloads, multiple timelines, and project coordination.

- Interacting with internal and external contacts in a professional manner with exceptional interpersonal skills.

- Proficiency in invoicing practices and taking meeting minutes.
- Operating audio-visual equipment, computers, teleconferencing and videoconferencing equipment, digital cameras, video cameras, photocopiers, etc.

**KEY RESPONSIBILITIES**
- Manage day-to-day office operations.
- Provide administrative support to the SGB OHT Co-Chairs and Project Manager.
- Compose draft routine correspondence using Microsoft Word, transcribing dictation as required.
- Compose draft presentations using Microsoft Power Point.
- Under direction of the Chair for assigned committees, schedule meetings, develop agendas, record minutes, and circulate materials as required. Assigned committees may include Ontario Health Team working groups, advisory committees, and ad hoc groups.
- Collect and compile information as requested by the assigned committees.
- Support project administration of the SGB OHT’s various initiatives.
- Maintain the calendar of program, department, and standing committee meetings.
- Coordinate conference registrations, travel, and accommodations for SGB OHT related events.
- Manage the intranet site of the SGB OHT.
- Coordinate events to support the strategic work and priorities of the SGB OHT and its working groups and advisory committees.
- Other duties as assigned.
